About the Role

Remote | Long-Term Position

Tiffany's Pro Tax Solutions Corp. is looking for an experienced U.S. Tax Preparer & Bookkeeping Specialist to join our remote team.

We are looking for someone with a minimum of 2 U.S. tax seasons of hands-on experience preparing individual tax returns and practical experience with QuickBooks Online and bookkeeping.

You do not need to consider yourself a tax expert, but you must have enough real-world experience to understand the U.S. tax preparation process, work independently, recognize when information is missing or questionable, and know when to ask for clarification or escalate an issue.

This is not an entry-level training position.

The ideal candidate can take a client file, organize the documents, enter the tax information accurately, identify missing information, follow up with the client or Tax Preparer, and prepare the return to the point where it is ready for final review.

PRIMARY RESPONSIBILITIES
U.S. Individual Tax Preparation
Prepare and enter data for U.S. individual tax returns (Form 1040).
Accurately enter information from W-2s, 1099s, 1098s, 1095-A, 1099-NEC, 1099-MISC, 1099-K, 1099-R, brokerage statements, retirement forms, and other tax documents.
Review client documents and identify missing, incomplete, or inconsistent information.
Follow up with clients for missing tax documents and information.
Maintain organized client files and documentation.
Review tax organizers and intake forms for completeness.
Identify potential issues instead of making assumptions.
Prepare tax returns to the point where they are complete and ready for final professional review.
Make corrections requested during the review process.
Follow company SOPs and quality-control procedures.
Track outstanding documents and follow up with clients until the file is complete.
Business Tax Knowledge — PLUS

Experience with business tax preparation or business tax data entry is a strong plus.

Knowledge or experience with:

Schedule C
Form 1120
Form 1120-S
Form 1065
K-1s
Business income and expenses
Business deductions
Business bookkeeping
Entity-related tax information

is preferred.

You do not need to be an expert in business taxation, but you should understand the basic purpose of these forms and be comfortable working with business tax information.

QuickBooks Online & Bookkeeping
Manage bookkeeping tasks in QuickBooks Online.
Enter and categorize business income and expenses.
Review transactions for proper classification.
Perform bank reconciliations.
Perform credit card reconciliations.
Investigate unreconciled or unusual transactions.
Maintain accurate and organized books.
Review bookkeeping records for errors or missing information.
Prepare monthly bookkeeping records for review.
Assist with Profit & Loss and Balance Sheet preparation.
Follow up with clients when clarification or documentation is needed.
Keep client books current and organized.
Client Follow-Up & File Management

You will be responsible for helping move client files from incomplete to ready for review.

Responsibilities include:

Requesting missing documents.
Following up with clients who have not responded.
Tracking outstanding information.
Updating client status in the company's systems.
Keeping files organized.
Making sure incomplete files do not sit unattended.
Escalating questions or issues that require management or professional review.
REQUIRED EXPERIENCE

Applicants must have:

Minimum 2 completed U.S. tax seasons of hands-on tax preparation experience.
Experience preparing U.S. individual tax returns/Form 1040.
Practical knowledge of U.S. tax documents and terminology.
Experience with QuickBooks Online.
Practical bookkeeping experience.
Experience with bank and credit card reconciliations.
Ability to categorize transactions accurately.
Strong attention to detail.
Strong organizational skills.
Good written and spoken English.
Ability to communicate professionally with U.S. clients.
Ability to work independently.
Ability to follow SOPs and company procedures.
Ability to recognize when something is unclear and ask before proceeding.
YOU DO NOT HAVE TO BE AN EXPERT.

We are not requiring a tax expert or CPA.

However, you must have enough practical experience to understand the work, complete routine tasks independently, identify missing information, and know when an issue needs to be escalated for review.

Minimum requirement: 2 U.S. tax seasons.

Please do not apply if you have:

No actual U.S. tax preparation experience.
Less than 2 U.S. tax seasons.
Only completed a tax course but never prepared actual returns.
Only worked with taxes outside the United States.
Only general accounting knowledge without practical bookkeeping experience.
QuickBooks training but no real-world QuickBooks experience.
No experience communicating with or following up with clients.

We are looking for someone who already understands the basics and can perform the work with reasonable independence.

You will have a team and a final reviewer, but we do not want someone who needs to be taught every step of the process.

WHAT SUCCESS LOOKS LIKE

Your goal is to help us move each client file through the following process:

Client Intake ? Documents Received ? Data Entry ? Missing Information Identified ? Client Follow-Up ? Tax Return Prepared ? Internal Review ? Ready for Final Review

For bookkeeping:

Bank/Financial Data ? Transaction Entry ? Categorization ? Reconciliation ? Review ? Financial Statements ? Ready for Review

If you encounter something you do not understand, do not guess.

Identify the issue, document the question, and escalate it for review.

Accuracy is more important than simply working fast.

TECHNOLOGY

You should be comfortable working with:

QuickBooks Online
Tax preparation software
Google Workspace
Microsoft Office
Client portals
Cloud-based document management systems
CRM systems- GHL is a plus
WhatsApp
Zoom
Other online business tools

Experience with GoHighLevel (GHL) or similar CRM systems is a plus.
