Real Estate VA – Transaction Coordination & Backend Operations Support

We are seeking an experienced, detail-oriented Real Estate Virtual Assistant to join our team and support our Operations Lead. You will handle essential transaction backend tasks, document drafting, and email operations to keep our deals moving smoothly. This role requires someone who thrives in a fast-paced environment, possesses thick skin, and can confidently manage communication with strong personalities.

Key Responsibilities:

Transaction Drafting: Assist in drafting Residential Purchase Agreements (RPAs), counter offers, requests for repairs, and disclosures.

Document Management & E-Signatures: Manage transaction files, process e-signature packages (ZipForms, DocuSign), and ensure proper compliance filing.

MLS & Client Tools: Run comparative market analyses (comps) and set up/manage automated property searches for clients.

Email & Operations Support: Monitor office inboxes, field routine administrative updates, and organize cloud property files.

Required Qualifications:

Minimum 2+ years of experience supporting in California residential real estate agents or transaction coordinators.

Strong familiarity with California standard real estate forms (RPAs, Counters, Requests for Repair).

Experience with MLS platforms and electronic signature tools (DocuSign/ZipForms).

Outstanding written English communication and high attention to detail.

High-speed, reliable internet connection and a dependable desktop/laptop setup.

Preferred / Bonus Qualifications:

Compass Experience (Huge Plus): Familiarity navigating and managing transaction data within the Compass platform.

AI Tool Proficiency (Huge Plus): Experience leveraging AI tools to streamline drafting, email management, and workflow efficiency.
