About the Role

We are seeking a detail-oriented and highly organized HR & Payroll Specialist to join a healthcare clinic based in Minnesota. This role is pivotal in supporting HR operations and ensuring smooth employee lifecycle management — from recruitment and onboarding to payroll and off boarding. The ideal candidate has a solid background in HR and payroll functions, with hands-on experience using ADP or similar payroll platforms, and a proven track record of managing remote teams across diverse business sectors. You will work during U.S business hours and get paid weekly + HMO.

Key Responsibilities

Payroll & Benefits Administration

  • Manage end-to-end payroll processing using ADP or equivalent payroll software, ensuring accuracy and timely submissions
  • Handle employee benefits inquiries and assist with benefits administration
  • Input and maintain accurate 401(k) data and contributions
  • Prepare and analyze payroll and HR-related reports

Recruitment & Onboarding

  • Advertise job openings on relevant platforms
  • Create and update job descriptions
  • Screen and interview candidates via phone and video calls
  • Conduct background checks and reference verifications
  • Coordinate onboarding and induction for new hires

HR Operations

  • Monitor and manage the HR inbox and respond to queries promptly
  • Maintain and update HRIS and employee records
  • Ensure compliance with company policies and employment laws
  • Support staff training and development initiatives
  • Manage remote employee documentation and communication

Employee Relations & Offboarding

  • Assist in disciplinary meetings and documentation
  • Issue formal warnings as needed
  • Manage employee exits, including contract terminations and offboarding
  • Communicate changes and updates to staff as required

Requirements

  • Proven experience in HR and payroll functions
  • Hands-on experience with ADP Workforce Now, ADP Run, or a comparable payroll platform (e.g., Gusto, Paychex, QuickBooks Payroll) is REQUIRED
  • Strong knowledge of HRIS systems and payroll platforms
  • Solid understanding of US payroll practices, tax regulations, and compliance
  • Excellent written and verbal communication skills in English
  • Strong organizational and time management abilities
  • Ability to handle confidential and sensitive information with the utmost discretion
  • Comfortable working independently in a fast-paced remote environment

Preferred Qualifications

  • Experience processing payroll for US-based companies remotely
  • Familiarity with 401(k) administration and employee benefits management
  • Background working with multi-state payroll is a plus
  • HR certification (PHR, SHRM-CP, or equivalent) is an advantage
