Manager for Healthcare Clinic

Seeking a Responsive, Reliable, and Responsible Clinic Manager
We are seeking an experienced manager (minimum 2 years in US-based healthcare clinics) to oversee clinic workflows and staff. Key responsibilities include managing daily operations, onboarding new providers, improving standard operating procedures, and reducing the administrative burden on mental health providers by serving as an effective liaison between providers and the broader team.

Requirements:

• Minimum 2 years of experience managing US-based healthcare clinics

• Excellent communication skills (fluency in English and responsiveness)
• Active HIPAA certification
• Clear criminal background check (must provide Police Record Check or NBI Clearance minimum 1 hour before the interview)

-Signed non-disclosure agreement prior to the first shift

Manager on Duty:

• Must be available during scheduled work hours. Unexcused absences (e.g., without valid medical or emergency reasons) will result in immediate termination.

-Responds promptly to all parties.

• Has a clear understanding ofthe level of care and services we provide.
• Has a clear understanding of clinic policies and SOPs,s or at leastknows where tofind them.
• Demonstrates a clear understanding of each VA's role.
• Monitors task progress and completion during and after each VA's shift. Items or /tasks not completed must be followed up on.
• Fosters collaboration within the team.
• Fosters accountability when tasks are not complete.
• Fosters compliance with tools, HIPAA regulations, and time clock procedures.
• Promotes a problem-solving mindset and approach to work.
• Creates and modifies schedules for VAs on Connecteam according to clinic and provider needs.
• Addresses deviations from clinic policies or SOPs by VAs through discussion.
• Assists with logins when necessary.
• Approves time off for VAs.
• Ensures clinic operations run smoothly when a contractor or provider is away.
• Demonstrates the ability to navigate crises.
• Demonstrates the ability to de-escalate situations when patients are angry.
• Maintains strong boundaries and enforces clinic policies when patients are emotionally manipulative or attempting to circumvent the rule.
• Onboards contractors, ensuring onboarding form completion and training.
• Ensures all forms are up to date each year, including renewed HIPAA certification annually and the W-8BEN form every three years.
• Onboards new providers.
• Coordinates with VAs to ensure note templates are available for new providers.
• Follows up with new providers to ensure compliance with clinic expectations and policies.
• Ensures Spravato tasks are followed diligently, including updating inventory and coordinating shipping promptly.
• Resolves patient concerns and complaints.
• Brings solutions to meetings to address clinic-related operational and policy issues.
• Ensures contractors are practicing ethically.
• Co-creates and executes short- and long-term goals.
• Relies on independent judgment and experience; overuse of AI to solve clinic problems will result in termination

-Navigates different internet platforms (ie .Email , google docs, Charm EHR, USPAY for payments, Headway, etc.). You do not need experience with these specific platforms; just experience navigating multiple platforms.

The successful candidate will be on probation during the first two weeks. The hourly wage during probation is $5.50. Upon successful completion of probation, the hourly wage will be increased.
