About the Role

BrainSpark Academy is a small online math tutoring company serving middle school students and their families. I am looking for a dependable, organized, and proactive part-time virtual assistant to help manage student operations, parent communication, administrative systems, and routine social media publishing.

Primary Responsibilities

Student and Parent Support

Monitor student attendance, homework submissions, and missing assignments
Update student trackers accurately and consistently
Send approved reminders to families about missing or overdue work
Help prepare and send scheduled parent progress reports
Collect tutor feedback and organize information for parent check-ins
Track parent responses, follow-up tasks, and unresolved concerns
Alert me promptly when a situation requires my personal attention

Google Classroom and Program Administration

Upload and schedule assignments, announcements, and class materials
Check that links, attachments, due dates, and instructions are correct
Add students and tutors to the appropriate online classrooms
Maintain class rosters, calendars, attendance records, and student folders
Organize completed work and help keep each class system current
Assist with student onboarding after enrollment

Tutor and Schedule Support

Maintain tutor availability and class schedules
Send reminders about grading, reports, and administrative deadlines
Confirm that tutors have the correct materials before class
Organize tutor notes, hours, and required documentation

Social Media and General Administration

Upload and schedule approved social media posts
Organize captions, graphics, videos, and the content calendar
Make simple edits using existing Canva templates when needed
Update business trackers, including enrollment, advertising, and program data
Organize Google Drive files and maintain consistent file names and folders
Document recurring processes and update checklists as procedures change
Complete additional administrative tasks as BrainSpark grows
Hours and Availability

This position is approximately 10 hours per week. Hours may vary slightly depending on enrollment, reporting cycles, and program needs.

The schedule is flexible, but you must be available for some work during U.S. Pacific Time business hours, especially for time-sensitive student and parent tasks. Reliability and consistent communication are essential.

Qualifications

The ideal candidate:

Has excellent written English
Communicates warmly and professionally
Is highly organized and attentive to detail
Follows written instructions carefully
Can manage recurring responsibilities without repeated reminders
Notices missing information, errors, and unfinished tasks
Is comfortable asking questions when instructions are unclear
Has strong time-management and problem-solving skills
Handles confidential student and business information responsibly
Is comfortable using or learning Google Workspace, Google Classroom, Canva, Zoom, and online tracking systems
Has reliable internet access and a dependable computer
Is interested in building a stable, long-term working relationship

Experience in education, tutoring, student support, parent communication, or online program administration is helpful but not required. Strong judgment, reliability, and the ability to learn systems are more important.
