About the Role

Work Schedule: Monday–Friday, 8:00 AM – 4:30 PM EST (that's 8:00 PM – 4:30 AM Philippine Time). This is a genuine night-shift commitment — please confirm you can sustain this schedule long-term before applying.

You're willing and able to learn U.S. geography — specifically Delaware — well enough to make smart scheduling and routing decisions. We'll teach you; you bring the discipline to actually learn it.

The Role
The Scheduling/Staffing Coordinator maximizes the efficiency and hours our caregivers deliver to our clients. You'll own the daily schedule: booking home visits for field staff, filling call-offs quickly, and keeping clients, caregivers, case managers, and office staff informed and coordinated. When schedules run smoothly, clients get consistent care and caregivers get reliable hours — you make that happen.

This is a high-caliber, well-compensated role. We're not looking for a generic VA — we're looking for someone who's genuinely excellent at this and will be paid accordingly.

Requirements

Minimum 5 years of scheduling/staffing coordination experience specifically within a home care agency (required) — this means coordinating field staff visiting clients in private homes, not assisted living facility scheduling and not generic staffing agency placement work

Hands-on experience with home care scheduling software (AlayaCare, WellSky, or similar) and managing multiple schedules simultaneously

Proficiency with Microsoft Office (Word, Excel, Outlook)

Excellent spoken and written English — near-native fluency required; phone screening will specifically assess verbal communication

Willingness and ability to quickly learn U.S. geography, specifically the Delaware service area, as it's central to daily scheduling decisions

High attention to detail and the ability to multitask in a fast-paced, compliance-sensitive environment

Proactive, problem-solving mindset

Healthcare certification (RN, CNA, or similar) is a plus

Responsibilities

Ensure accurate and appropriate scheduling for clients and staff.

Manage calls from patients and field staff regarding scheduling issues.

Enter and maintain accurate information in the Home Care operating software (AlayaCare).

Communicate professionally with clients, family members, and staff.

Document and maintain schedule notations timely to ensure compliance.

Provide staffing coverage for call-offs and monitor clock-in/out accuracy of field staff.

Answer incoming calls promptly and pleasantly.

Relay information from referral sources, clients, family members, and case managers to appropriate personnel.

Document and report client or staff concerns.

Maintain accurate documentation in client and personnel files.

Adhere to company-wide and specific performance standards.

Collaborate with tea ---------- mbers to identify opportunities to improve service delivery.

Identify and proactively address scheduling challenges and process improvements.
