operations and automation specialist

We’re looking for an operations and automation specialist to build and manage our business systems so we can scale with efficient workflows, automation, and AI integrations. This includes ServiceM8 configuration, AI receptionist + automation, and some paid social marketing support.
Scope of work

• ServiceM8 setup and optimisation: configure our ServiceM8 account, build professional job workflows, and set up automated customer notifications
• ServiceM8 forms and checklists: create digital service forms, measuring forms for roller, sectional and commercial garage doors, and inspection checklists
• ServiceM8 quoting/invoicing system: create professional quote templates and invoice templates, and build automatic quote generation from technician measurements
• ServiceM8 catalog + inventory: create a complete parts catalogue with pricing and supplier information, and set up stock control and inventory management
• ServiceM8 automations + compliance attachments: automate recurring annual garage door service reminders, and attach manufacturer warranties, workmanship warranties and Terms & Conditions automatically to relevant quotes and invoices
• Reporting and documentation: build reporting dashboards and KPI tracking, document systems and processes, and continually optimise workflows
• AI, automation, and marketing: configure and manage our AI receptionist, integrate AI with ServiceM8, automate customer enquiries and reduce manual admin; create and manage Meta (Facebook & Instagram) ad campaigns (lead gen + remarketing), monitor/improve performance, design simple ad creatives where required, and coordinate with our Google Ads provider as needed; recommend and implement new software/automation tools to improve efficiency
