AI-Powered Growth & Outreach Assistant (Executive VA)
Curated from source
Hey, I'm Austin. Before you read anything else, watch this quick 3-minute intro so you can hear the role fro ---------- directly:
Intro video: ----------
I run Fantum Growth Co. We're a small growth team that partners with financial advisors (and a couple other businesses) to actually grow them. Most agencies build you a nice website and disappear. We build the engine and then stay in the weeds with our clients, month after month.
Here's the honest reason this role exists:
Right now almost everything runs through me. I'm on every call. I set the strategy, I write, I build, I sell, and then I hand it off. That's the thing capping us.
I don't need another set of hands to run a checklist. Sam, our project manager, already does that beautifully and keeps the whole scheduled machine going.
What I need is someone who sees what needs to happen before I say it, grabs it, and either does it themselves or hands it to Sam. Someone who makes me a little less necessary in the day to day, so I can go do the parts only I can do.
If you read a situation and just start moving without waiting to be told, keep reading. If you need a detailed task list to feel comfortable, this probably isn't the one, and that's okay.
What you'd actually own:
The heart of it is growth. You'd own filling the pipeline for our clients and for Fantum itself. That means researching and building target lists (centers of influence, venues, podcasts, joint-event partners) around each client's niche. Writing personalized outreach that sounds like a human, sending it at real volume, and working the replies. Actually booking the placements, appearances, and workbook drops, then following up relentlessly so nobody goes cold. And owning the numbers and reporting them back to me: outreach sent, reply and acceptance rate, placements, and bookings.
You'd also be my right hand in the day to day:
- Coming to client calls with me, catching what needs to get done, and assigning it to yourself or Sam right there in our internal app so nothing sits waiting
- Managing a chunk of the email work, including building email s in our email builder for Creations of Christ, my Christ-centered art brand
- Generating images with AI (ChatGPT and others) when we need them
Running Shopify tasks for Creations and keeping the store and orders in good shape
- Staying on top of follow-ups, because that's the thing that quietly kills deals the second it slips
You won't do it alone. Sam owns the scheduled execution and content, including Opus clips, AI-drafted copy, and posting. I own the strategy, the creative direction, and the sales. You're the person in the middle making sure the important things actually happen and don't sit stuck on me.
The one thing I care about most:
Proactivity.
I'll say this plainly because it matters more than any skill on the list. I want someone who moves first. Who notices a client hasn't heard from us in a week and drafts the follow-up before I ask. Who sees a list of COIs and starts researching instead of waiting for the green light. Who comes to a call and leaves with a plan instead of a question. Low effort always beats none, and the people who win here are the ones who just start.
I have ADHD, so I've actually built a whole system around this. We run our own tool that turns call transcripts into tasks and routes them to the right person. You'd live in that thing every day, and it makes being proactive easier, not harder. But the system doesn't create the drive. That part has to be you.
Skills that matter:
MUST HAVE!
- Genuinely proactive. This is the whole job. You take an ambiguous "here's what we're trying to do" and you run with it.
- Really good with AI. You use it like a co-worker to research, draft, summarize, and move three times faster than a normal hire. We're an AI-first team and you'll live in the tools.
- Strong, human writing in English. Outreach and email s that sound like a real person, not a template. Excellent written and spoken English matters here because you'll be on calls and representing our advisors.
- Follow-through and organization. You close loops. Things don't fall through with you.
- Comfortable talking to professionals. You'll be representing our advisors to their centers of influence, so warmth and judgment matter.
Nice to have, or willing to learn fast:
- GoHighLevel (pipelines, automations, follow-up flows)
- Shopify and email builders like Klaviyo
- Any outreach, SDR, or growth background
- A decent eye for design and images
Honestly, the tool skills are teachable in about a week with AI. The proactivity and the judgment are not. So if you don't know GoHighLevel yet but you're the type who figures things out and never waits to be told, apply anyway.
What great looks like:
In your first month, you're in the calls, you know our clients, and things are already getting picked up without me assigning them. By 90 days, you own the outreach engine for at least one client end to end, the numbers are actually moving, and I've stopped being the bottleneck in the day to day.
The real win is simple. I stop being the only person who can see what needs to happen next.
A little about us:
We're small on purpose. Few clients, deep partnerships, work from anywhere.
I've got a wife and a baby, and the freedom to build this from anywhere is the whole point of how it's shaped. I care a lot about working with people I genuinely like. If you're proactive, curious, good with AI, and you want to help build something instead of just clocking tasks, I'd love to talk.
TO APPLY:
Complete the test project described in this document:
Test project - ----------
Doing the test task is real evidence of proactivity, and we weigh it heavily. We're genuinely ready to hire, so don't overlook this one.
Looking forward to hearing from you.
