I own a fast-growing, high-volume residential property management business based in Australia. Our team manages a portfolio of 1,000+ properties, and we are scaling quickly!

To keep up with our growth, I am looking for an experienced, proactive Property Management Virtual Assistant to take ownership of our day-to-day administrative backend. You won’t just be doing "light admin"—you’ll be the backbone of our operations, keeping our systems spotless and ensuring our onshore team can focus on client relationships and expansion.

What You’ll Be Doing
In this role, you will handle full-cycle property management administration inside our systems:

Maintenance & Repairs: Log, triage, and coordinate maintenance end-to-end. Get quote approvals from owners, book tradespeople, issue entry notices, and follow up until the job is done.

Compliance: Track and maintain current compliance records (smoke alarms, gas/electrical safety, pool compliance, water efficiency) and audit files for missing certificates.

Leasing & Tenancy Admin: Process lease renewals, prepare documentation, manage inspection reports (entry, routine, exit), and keep property records updated.

Inbox & Communications: Manage administrative and maintenance inboxes—providing fast, professional updates to owners, tenants, and tradespeople.

System Accuracy: Keep our database accurate, upload invoices, update profiles, and run regular operational reports.

What We’re Looking For
Must-Haves (Non-Negotiable):
Software: Hands-on, practical experience using Property Me AND/OR Property Tree
Portfolio Experience: Proven track record supporting a large residential rent roll (high volume, several hundred+ properties).
Industry Knowledge: Deep understanding of Australian property management workflows (maintenance, compliance, leasing, and inspections).
Communication: Exceptional written and spoken English with a professional, clear communication style.
Attributes: Proactive, highly organized, detail-oriented, and able to work independently at high volume.

Nice-to-Haves:
Experience with state-based compliance laws and issuing entry notices.
Exposure to trust accounting or invoicing.
Experience working across multiple offices or business entities.
