Job Summary
The Project Coordinator is responsible for supporting the operational efficiency of field services and community management. This role involves managing work orders, invoicing, timecards, and cross-team communications to ensure seamless backend operations.
Key Responsibilities
- Create and update work orders in RazorSync, ensuring accuracy and transparency.
- Manage weekly RazorSync invoicing processes, including review, approval, and follow-up on payment statuses.
- Track and resolve missing receipt reports, coordinating with maintenance technicians for documentation.
- Support payroll by aligning timecard data with work order records and templates.
- Maintain and communicate PTO balances and ensure accurate timecard entries.
- Conduct onboarding and training for new hires on software systems and workflows.
- Prepare weekly sync-up reports and update maintenance schedules and work order data.
- Liaise with Community Managers, Board Members, residents, and maintenance teams to coordinate work orders and provide updates.
- Generate monthly KPI reports and correct legacy data for reporting accuracy.
Required Skills and Abilities
- Experience with Razorsync or other field service management software,
- Excellent verbal and written communication skills,
- Outstanding customer service orientation and professionalism,
- Exceptional organizational skills and attention to detail,
- Proven ability to meet deadlines, manage time effectively and work independently, and
- Proficient in Microsoft Office Suite.
Education and Experience
- High school diploma or equivalent required.
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer.
Hardware & Internet Requirements:
- 16GB RAM or higher
- Intel® Core i3, AMD Ryzen 3 or higher processor
- 256GB Solid State Drive (SSD) storage or larger
- Microsoft® Windows 11 Home Operating System
- Reliable 10 Mbps+ internet with backup connection and power
- Noise-canceling headset and high-quality webcam
Contractors:
- Are not eligible for employee benefits such as paid time off (PTO), health insurance, or retirement plans,
- Bill and are compensated only for hours worked, with no eligibility for overtime pay. The hourly rate remains consistent regardless of the number of hours worked, and
- Do not receive pay during company closures (e.g., holidays) unless they perform pre-approved work during those periods. We observe 14 holidays annually.
To reflect these differences, we are offering a higher hourly rate than that of a regular employee. This is intended to help offset costs such as health insurance and retirement and provide flexibility for unpaid time off.
