About This Position - What I'm Looking For
I'm looking for a Remote Office Manager who will be the first point of contact for our customers and the engine behind our front-office operations.
This is not a project management role - we have a dedicated Project Manager who takes over once a job is awarded. Your world is everything that happens before that point: leads, estimates, scheduling, and customer communication, plus ongoing office and marketing support.
This is a long-term opportunity, not a short-term gig. I'm looking for someone who wants to grow with Dr. Paint for years to come, not just fill a temporary need.
We run our business on HouseCallPro, PaintScout, and Google Sheets - you'll be working in these tools daily.
You'll be reporting directly to me and working closely with our estimator. We also have a Project Manager who oversees our team of 15 painters once a job is awarded.
Responsibilities
Fundamentally, this job is about making sure every lead and every customer gets a fast, professional, and friendly experience - and making sure our office runs like clockwork.
A typical day looks like:
Checking email s, Meta ads, voi cemail s, and the CRM first thing.
Returning calls and replying to messages quickly - nothing sits for long.
Calling leads to schedule estimate appointments for our estimator, and following up with leads who haven't converted yet to get them scheduled.
Updating the pipeline daily so every opportunity is moving forward and the data is accurate.
Posting on social media using content we provide, making sure what goes out is genuinely valuable to our audience.
Updating our weekly stats - calls received, appointments made, and sales produced for the week.
Managing and maintaining the estimator's calendar.
Calling referral partners - real estate agents and other home service trades - to help generate new business opportunities.
Email ing our client list weekly.
Handling day-to-day administrative tasks - data entry, receipts, light reconciliation support.
Participating in a weekly 1-on-1 to review your performance and your impact on our quarterly goals. We set our company goals as a team effort each quarter - your role in owning your piece well is a direct part of us hitting those goals together.
What you will not be doing: managing active projects, production schedules, or job-site logistics once a job is awarded - that's handled by our Project Manager.
Compensation & Job Details
This is a full-time, remote position.
$1,200 USD/month.
Paid weekly.
One week paid vacation per year.
Raises and promotions are available to top performers who exceed benchmarks.
Full-time hours aligned with US Eastern Time, Monday-Friday.
What's Required - About You
You are fluent in English, written and spoken - this is required, not preferred.
You have prior experience in an office manager, executive assistant, or customer service role.
You're comfortable and confident on the phone with US-based customers.
You can work full-time during US Eastern Time business hours (Monday-Friday).
You're proactive - you don't wait to be told what to do.
You have a stable internet connection and a quiet, professional space to work and take calls from.
You have your own reliable laptop/computer and a working headset for calls.
You're detail-oriented and organized - nothing falls through the cracks on your watch.
You're coachable and always looking to grow, personally and professionally.
