About the Role

We're looking for an Operations VA to help keep our automated business systems running smoothly across our supplement and cybersecurity brands, and to handle day-to-day communication with our supplement supplier. This is a monitoring, maintenance, and coordination role — you're not producing content or closing sales deals, you're making sure the systems and supply chain that support the business stay healthy, and flagging anything that needs attention.

What you'll do:

  • Daily checks on our email sending, lead scraping, and ad tracking tools — confirm everything is connected and running, flag anything disconnected or erroring
  • Communicate regularly with our supplement supplier — check in on order status, respond to routine questions about quantities, timelines, and specs, and keep us updated on anything relevant
  • Escalate any supplier conversation involving pricing changes, contract terms, or quality issues immediately rather than handling it yourself
  • Build and maintain email marketing flows (welcome series, abandoned cart, post-purchase) using Klaviyo — training provided if you haven't used it before
  • Monitor and execute paid ad campaigns on a small number of priority channels — load creative, check spend pacing, pause underperforming ad sets
  • Weekly reporting: a short summary of system health, supplier updates, email performance, and ad results
  • Escalate anything broken or unusual immediately rather than waiting for the weekly report

What we're looking for:

  • Detail-oriented and comfortable with dashboards/analytics tools
  • Reliable and proactive about flagging issues before they become bigger problems
  • Comfortable communicating professionally with a business supplier/vendor
  • Some experience with email marketing tools (Klaviyo or similar) is a plus, not required — training provided
  • Comfortable using Airtable, spreadsheets, and following documented processes
  • Reliable internet connection
  • Able to work independently and complete weekly checks on schedule, even on a part-time basis

This is a flexible, part-time role requiring approximately 15-20 hours per week. Certain checks and supplier follow-ups need to happen on a regular schedule even though overall hours are part-time — reliability on timing matters more than total hours.

Starting pay is $200 per month. Pay increases over time based on performance.
