About the Role
We are a U.S.-based virtual bookkeeping and financial advisory firm (Peak Profit, based in Texas). We are hiring one (1) full-time remote bookkeeping contractor to support our growing U.S. small business client base.
This is a stable, long-term contractor position, not a short-term gig. The right candidate will work directly with the firm owner (Jeff White) and will become a long-term extension of our bookkeeping team.

What You'll Do
Daily transaction categorization in QuickBooks Online for assigned U.S. small business clients
Monthly bank, credit card, auto loan, installment loan, line of credit, and other reconcilable account reconciliations as applicable
Accounts payable and accounts receivable support
Month-end close support for assigned clients
Prepare and upload monthly financial reports to our client portal (TaxDome):
Profit & Loss (P&L) statement
Balance Sheet
Accounts Receivable Aging Detail
Accounts Payable Aging Detail
Organize client documents within the TaxDome portal

Required Skills & Experience
QuickBooks Online certification required (QuickBooks ProAdvisor level or equivalent) — proof of certification required to apply
3+ years of hands-on bookkeeping experience, ideally with U.S. clients
Expert-level QuickBooks Online proficiency (bank feeds, reconciliations, chart of accounts, financial reports)
Strong written and spoken English (you'll be communicating with the firm owner in writing daily)
Reliable internet connection and your own computer
Self-starter — minimal supervision required
Comfortable working with time-zone differences (U.S. business hours are not required)

Tools You'll Use
QuickBooks Online: You will need your own QuickBooks Online account and login. Company will provide access to the appropriate clients within the firm's QBO account.
TaxDome client portal: Company will provide access after the initial 30-day onboarding period.

Email : All firm communication runs through your personal email and ---------- Drive: Company will provide access to our Google Drive account. You will need to be able to access it. Used only during the first 30 days, before TaxDome access is granted.
Google Meet or Zoom: Periodic video check-ins with firm owner.

What This Is NOT
NOT an employee position — you control your own hours, location, and tools
NOT a tax preparation role — we handle taxes separately
NOT a payroll processing role (unless added later by written agreement)
NOT a CFO/advisory role — focused on core bookkeeping only
NOT a role that involves client communication in the first 90 days (firm owner handles all client communication; after Day 91, optional TaxDome-portal-only client communication may be granted)

Engagement Structure
First 30 Days (Onboarding Month — payment split 20/20/30/30):

  • Day 1 (20%): Engagement starts.
  • Day 7 (20%): Confirm access is in place to all appropriate accounts (QBO, Google Drive), SOPs reviewed, client work has begun. Includes a video check-in with the firm owner (questions welcome, not a formal evaluation).
  • Day 15 (30%): Second video check-in. Reviews progress from the prior two weeks. Contractor brings questions. (Note: Setting up bank feeds and chart of accounts is the firm's responsibility, except when onboarding a new client — in which case the firm provides the chart of accounts and structure for the contractor to implement.)
  • Day 25 (30%): Third (final Onboarding Month) check-in — email exchange of any questions the contractor has about working on the client accounts (categorization, transactions, chart of accounts, etc.).

Days 31–90 (Portal Access, No Client Communication):

  • TaxDome client portal access granted
  • Continue servicing assigned clients
  • Periodic video checkpoints with firm owner
  • No client communication of any kind in any channel

Day 91 Onward (Continuing Engagement):

  • Convert to month-to-month continuing engagement
  • Standard 50/50 bi-monthly payment structure
  • Optional TaxDome portal-only client communication may be granted at firm's discretion (subject to permanent email prohibition)

Communication Rules
All firm communication with the firm owner (Jeff White) runs through personal email only, between your personal email and ----------
WhatsApp, Telegram , text messaging, phone calls, and other channels are NOT approved for either firm communication with the firm owner OR is any communication with clients
Periodic video check-ins will be conducted via Google Meet or Zoom

Email is permanently prohibited as a channel for client communication at all times

Probationary Period
First 90 days constitute a probationary period
Either party may terminate with 7 days written notice during this period
Company may terminate for cause immediately
After Day 91, 30 days notice is required for either party

Who We're Looking For
Mid-level bookkeeper with proven experience (NOT entry-level)
QuickBooks Online certified (ProAdvisor level or equivalent)
Has worked with U.S. small business clients before
Strong written English communication
Self-directed and reliable
Comfortable working with a small firm (you'll be communicating directly with the owner, not a layered team)
Currently has or can quickly set up Wise or Payoneer account for USD payments

Important Disclosures
This is an INDEPENDENT CONTRACTOR position, not employment
You will be responsible for your own taxes in the Philippines (BIR registration)
You will provide your own equipment, software, internet, and workspace
You may serve other clients during this engagement, provided there's no conflict of interest with Peak Profit clients
This engagement is governed by the laws of the State of Texas
