I’m not looking for a typical virtual assistant.

I’m looking for someone I can send a task to—and immediately delete it from my brain.

Once I assign something to you, I want to consider it handled.

No chasing.

No repeated reminders.

No asking, “Did you ever finish that?”

No letting tasks quietly disappear.

You take ownership of the outcome, complete the task, communicate what happened, and make sure nothing falls through the cracks.

That is the standard.

What “Send and Delete” Means

When I give you a responsibility, you own the entire outcome—not just the first step.

You do not wait for me to remember it.

You do not stop when something becomes slightly difficult.

You follow up.

You find missing information.

You solve reasonable problems independently.

You keep me updated without needing to be asked.

If something cannot be completed, you tell me immediately, explain why, and present the next-best solution.

I should never have to continue carrying the task in my head after assigning it to you.

About Us

I’m Kaleb, and I’m building multiple home-service businesses in the United States.

You will initially help support our growing fence and cleaning businesses, but this position is designed to grow alongside the companies.

As we launch and expand additional businesses, you will become an important part of helping operate all of them.

This is not a dead-end VA position.

I’m looking for someone who wants to become my right hand and help build something long-term.

The Main Purpose of This Role

Your job is not simply to answer calls or complete random administrative tasks.

Your job is to help create growth.

Every working day, you should be helping us:

  • Convert more leads into appointments
  • Turn appointments into paying customers
  • Generate more organic attention
  • Build our online reputation
  • Create valuable local relationships
  • Recruit reliable subcontractors
  • Improve our systems
  • Remove responsibilities from my plate

You will handle opportunities coming into the business today while also building assets that create more opportunities tomorrow.

What You’ll Do

Answer and Convert Inbound Calls

You will answer incoming calls from American customers and help move them toward booking an appointment.

You will be responsible for:

  • Answering calls quickly and professionally
  • Returning missed calls immediately
  • Asking the correct qualifying questions
  • Explaining our process clearly
  • Booking qualified appointments
  • Entering complete and accurate information into our system
  • Following up with callers who do not immediately book
  • Confirming upcoming appointments
  • Rescheduling cancellations
  • Continuing to follow up until there is a final outcome

You are not simply taking messages.

You are helping convert interested callers into paying customers.

Respond to New Leads

You will monitor and respond to:

  • Website inquiries
  • Text messages
  • Facebook and ---------- ---------- ssages
  • Email s
  • Missed calls
  • Lead forms
  • Quote requests

Speed matters.

A lead that waits several hours for a response can become someone else’s customer.

Recruit Subcontractors

Finding dependable subcontractors is one of the most important responsibilities in this role.

You will:

  • Find local subcontractors through Facebook groups, Google, Craigslist, job boards, and direct outreach
  • Contact contractors who already advertise their services
  • Screen potential subcontractors
  • Collect pricing, service areas, availability, references, insurance information, and photos of previous work
  • Schedule interviews or test jobs
  • Follow up with promising candidates
  • Maintain an organized subcontractor database
  • Help us build primary, backup, and emergency contractor options
  • Continue recruiting even when we already have someone available

The goal is not to collect random names.

The goal is to build a dependable network of people who answer, show up, communicate, and complete quality work.

Create and Publish Daily Content

You will help us consistently build our brands by publishing useful local content.

This may include:

  • Before-and-after projects
  • Customer reviews
  • Frequently asked questions
  • Pricing explanations
  • Seasonal service reminders
  • Common homeowner mistakes
  • Local project highlights
  • Educational posts
  • Service offers
  • Short videos or graphics

Content may be published on:

  • Facebook
  • Instagram
  • Google Business Profile
  • Local community groups when appropriate
  • Our websites

The expectation is not to publish generic “Call us today” posts.

The content should be useful, local, creative, and designed to make customers trust us.

Follow Up With Leads and Past Customers

You will consistently work our customer database instead of allowing opportunities to disappear.

This includes:

  • Following up with leads who never booked
  • Following up on unsold estimates
  • Contacting previous customers about repeat services
  • Reactivating canceled appointments
  • Following up with people who asked to be contacted later
  • Asking satisfied customers for referrals
  • Requesting Google reviews
  • Following up on unanswered review requests

Build Referral Partnerships

You will help develop relationships with businesses that already serve our ideal customers.

Potential partners may include:

  • Realtors
  • Property managers
  • Landlords
  • Home inspectors
  • Landscapers
  • Pool companies
  • Deck builders
  • Concrete companies
  • Restoration companies
  • Moving companies
  • Other complementary home-service businesses

You will find potential partners, contact them, explain how we can help each other, follow up, and maintain an organized partnership database.

Help Improve Our Systems

You will help document and improve how the businesses operate.

This may include:

  • Improving call scripts
  • Creating follow-up sequences
  • Building subcontractor intake systems
  • Organizing customer information
  • Improving our CRM
  • Documenting standard operating procedures
  • Creating trackers and dashboards
  • Identifying repetitive work that can be automated
  • Finding better ways to complete recurring tasks

A major advantage is experience with Claude Code, Claude, ChatGPT, AI tools, automations, or building simple internal systems.

You do not need to be a professional developer.

However, you should be creative, curious, willing to experiment, and capable of using modern tools to solve problems.

I want someone who can look at a messy process and think:

“How can we make this better?”

Your Daily Priorities

You will work in this order:

1. Live inbound calls
2. Brand-new customer leads
3. Missed calls and unanswered inquiries
4. Appointments happening today
5. Open estimates and follow-ups
6. Subcontractor recruiting
7. Organic customer acquisition
8. Reviews, referrals, content, and partnerships
9. Systems and administrative work

Revenue-producing tasks always come before low-priority administrative work.

You should never be organizing files while a hot customer lead is waiting for a response.

What Will Not Work

This position is not for you if you:

  • Regularly need reminders
  • Disappear during working hours
  • Wait for instructions all day
  • Say “done” when the task is only partially complete
  • Ignore problems instead of communicating them
  • Make excuses instead of searching for solutions
  • Forget customer follow-ups
  • Require constant supervision
  • Complete work without checking it
  • Are uncomfortable speaking on the phone
  • Treat this as another temporary online gig

Mistakes can be corrected.

A lack of ownership cannot.

Compensation

This position pays a base hourly rate plus significant performance bonuses.

Base Pay

You will receive:

$2.50 per hour during scheduled working hours

The hourly pay covers your availability and completion of ongoing growth and operational responsibilities, including:

  • Answering calls
  • Responding to leads
  • Following up with customers
  • Recruiting subcontractors
  • Publishing content
  • Requesting reviews
  • Contacting referral partners
  • Improving systems
  • Completing assigned operational work

This is not a position where you sit and wait for the phone to ring.

Inbound Phone Performance Bonuses

In addition to your hourly pay, you can earn:

*$25 for every qualified appointment booked from an inbound call

  • +$25 when the appointment is complete
  • +$75 when the customer becomes a paying client

One inbound phone lead that becomes a paying customer can earn you $125 in bonuses, in addition to your hourly pay.

That can often times double for customers who booked with follow-up.

A qualified appointment must:

  • Be located within our service area
  • Be for a service we currently provide
  • Include complete and accurate customer information
  • Be scheduled for a legitimate date and time
  • Be properly documented in our system
  • Follow our approved qualification and booking process

Fake, duplicate, incomplete, unqualified, canceled, or improperly scheduled appointments will not qualify for bonuses.
