We are a Singapore-based makeup and creative agency working across luxury beauty, fashion, commercial productions, celebrity, and bridal projects. We are looking for a reliable and detail-oriented Administrative Assistant to support the daily operations of the business.
Job Responsibilities
Your responsibilities may include:
- Managing calendars and scheduling appointments
- Organising email s and responding to general enquiries
- Preparing quotations, invoices and receipts
- Following up on client payments
- Updating spreadsheets and company records
- Assisting with project administration and production planning
- Maintaining client databases and contact lists
- Coordinating bookings with clients, assistants and freelancers
- Preparing call sheets and basic project documents
- Organising Google Drive folders and digital files
- Researching products, suppliers or travel arrangements when required
- Assisting with simple social media administrative tasks (upload scheduling, organising content, captions provided)
- Performing other administrative duties as assigned
- Assist with content planning by maintaining the content calendar, researching trends, organising campaign ideas, and ensuring content is scheduled according to the marketing plan.
Requirements
- Excellent written and spoken English
- Strong organisational and time management skills
- High attention to detail
- Honest, trustworthy and able to handle confidential information
- Able to work independently with minimal supervision
- Fast learner with a positive attitude
- Stable internet connection and personal computer/laptop
- Comfortable using Google Workspace (Gmail, Drive, Docs, Sheets)
- Experience with Microsoft Office is a plus
- Experience supporting creative businesses is an advantage but not required
