About the Role

We are seeking a highly organized, detail-oriented Executive & Legal Virtual Assistant based in the Philippines to provide administrative, executive, and legal support for a growing U.S. law practice.

This role is ideal for someone who thrives in a fast-paced environment, enjoys solving problems, and can manage multiple priorities while maintaining strict confidentiality.

You will work directly with the firm's executive and attorneys to keep operations running smoothly.

Responsibilities
Executive Support
Manage calendars and schedule appointments
Organize email s and prioritize communications
Prepare meeting agendas and take notes
Coordinate projects and follow up on deadlines
Handle confidential information with discretion
Conduct internet and legal research
Prepare reports, spreadsheets, and presentations
Assist with travel planning and expense tracking
Legal Support
Draft legal correspondence and demand letters
Prepare legal documents using templates
Organize electronic client files
Request and follow up on medical records and billing
Communicate professionally with clients, insurance companies, providers, and opposing counsel
Calendar court deadlines and litigation dates
Maintain accurate case management records
Assist with discovery, document review, and filing preparation
Track outstanding tasks and ensure timely completion
Administrative Duties
Data entry
Document formatting
PDF editing and merging
File management
CRM and case management updates
Other administrative tasks as assigned
Qualifications
Required
Excellent written and spoken English
Exceptional attention to detail
Strong organizational and time-management skills
Ability to work independently
Professional communication skills
Reliable internet connection and quiet home office
Proficient with Microsoft Office and Google Workspace
Preferred
Previous experience working for a U.S. law firm
Personal injury or civil litigation experience
Experience with case management software (Smokeball, Clio, MyCase, etc.)
Familiarity with Adobe Acrobat or PDF editing tools
Experience handling medical records, insurance claims, or legal documents
