About the Role
We are seeking a highly organized, proactive, and relationship-driven Growth & Client Relations Coordinator to support business growth through personalized outreach, lead nurturing, CRM management, and appointment setting.
This is not a traditional sales role. Instead, the position focuses on building genuine relationships with prospective clients, maintaining consistent follow-up processes, identifying opportunities, and coordinating qualified meetings for the leadership team.
The ideal candidate enjoys research, relationship-building, strategic communication, and creating organized systems that ensure no opportunity falls through the cracks. You are comfortable working independently, managing multiple priorities, and utilizing technology and AI tools to improve productivity and communication.
This role sits at the intersection of business development, client relations, and executive support.
Key Responsibilities
Prospect Outreach & Relationship Building
- Conduct personalized outreach via email and LinkedIn.
- Build and nurture relationships with prospective clients through thoughtful communication.
- Maintain consistent follow-up schedules and engagement touchpoints.
- Re-engage dormant leads and identify new opportunities for connection.
- Represent the company's voice and values in all communications.
Appointment Setting & Pipeline Development
- Schedule qualified Interest Meetings and Discovery Calls.
- Coordinate meeting logistics, calendars, and confirmations.
- Ensure prospects are prepared and informed before scheduled meetings.
- Track meeting outcomes and next steps.
- Support leadership in maintaining a healthy and active sales pipeline.
CRM Management & Lead Tracking
- Maintain accurate and organized records within HubSpot CRM.
- Update lead statuses, contact records, follow-up tasks, and notes.
- Utilize CRM data and lead scoring to prioritize outreach efforts.
- Monitor pipeline activity and identify stalled opportunities.
- Ensure all prospect interactions are properly documented.
Prospect Research & Opportunity Identification
- Research companies, decision-makers, referral partners, and target markets.
- Identify qualified prospects through LinkedIn, CRM databases, and other research tools.
- Gather relevant background information to improve outreach effectiveness.
- Maintain organized prospect lists and outreach campaigns.
- Support leadership in identifying high-value business opportunities.
Meeting Preparation & Follow-Up Support
- Prepare prospect briefing materials and background research.
- Coordinate pre-meeting information and supporting documentation.
- Assist with post-meeting follow-up activities and action items.
- Support relationship nurturing throughout the decision-making process.
- Collaborate with leadership to improve conversion rates and client engagement.
AI-Assisted Communication & Process Improvement
- Utilize AI tools such as Claude, ChatGPT, or similar platforms to draft personalized communications.
- Adapt messaging to reflect the leadership team's voice and communication style.
- Identify opportunities to improve workflows, systems, and outreach processes.
- Recommend ideas that increase engagement, response rates, and appointment conversions.
- Continuously learn and adopt tools that improve productivity and efficiency.
Qualifications
Required Experience:
Minimum 2+ years of experience in one or more of the following:

Required Skills

Technical Skills
Intermediate proficiency preferred in:

- Asana or similar project management systems
Preferred Qualifications
- Experience supporting consulting firms, agencies, professional services, or financial services businesses.
- Experience with lead nurturing and appointment-setting workflows.
- Understanding of CRM automation and sales pipeline management.
- Experience creating personalized outreach using AI tools.
- Familiarity with LinkedIn prospecting and outbound email campaigns.
- Experience preparing meeting briefs and executive support materials.

Part-Time Position
- Up to 20 hours per week
Preferred Availability
- Available during U.S. Central Time business hours
- Flexible schedule between 8:00 AM – 6:00 PM CST
- Split-shift availability preferred (morning and afternoon coverage)
