Our virtual schedulers/recruiters run scheduling, recruitment, intake, and admin so agency owners can focus on caring for seniors. WHAT YOU WILL DO
As a Scheduler:
- Keep caregiver and client schedules fully covered at all times, and make sure care plans are met
- Match the right caregiver to each shift based on skill set, location, and availability
- Handle call-outs, no-shows, and last-minute changes quickly and calmly
- Resolve scheduling and care issues directly with clients and caregivers
- Enter and update caregiver, client, and communication data accurately in the scheduling software
- Process and complete the previous day's shifts
- Conduct follow-up calls with prospects to schedule consultations
- Respond to your management team within 5 minutes during work hours
- Protect client privacy, dignity, and confidentiality in every interaction
As a Recruiter:
- Post and refresh job ads weekly
- Source caregiver candidates from Indeed, other platforms, and the client's past-applicant database
- Contact applicants by phone, email , and text to screen, qualify, and schedule interviews
- Remind applicants of interview times, and reschedule missed or dormant candidates daily
- Guide applicants through assessments, applications, and hiring paperwork via DocuSign
- Track recruiting metrics and adjust your approach to keep results strong
- Meet a monthly hiring goal of 12 to 20 caregiver hires

Home care scheduling moves fast. A caregiver calls out at 6 AM, a shift needs covering in minutes, and one wrong detail (wrong client, wrong date, wrong caregiver) leaves a real senior without care. The Virtual Schedulers who thrive here stay calm under pressure, catch the small details other people miss, and follow through every single time. The ones who struggle need constant reminders, go quiet when things get busy, or treat "close enough" as good enough. Please be honest with yourself about which one you are before applying.
WHO WE ARE LOOKING FOR (NON-NEGOTIABLE)
- Exceptional attention to detail. You double-check names, dates, and shifts before you hit send.
- Strong English comprehension and clear, easily understood spoken English. You can fully understand American clients and caregivers on the phone, and they can easily understand you.
- Calm, organized, and decisive under pressure in a fast-changing environment
- Rock-solid reliability. You show up on time for every shift and give advance notice the ---------- nt anything affects your availability. No-call, no-show is an automatic disqualifier here.
- Initiative. You spot open shifts and problems and act on them without being told.
- Honesty and transparency. You will work with time-tracking software (Hubstaff). We want people who are proud of their work and have zero interest in gaming a tracker. Active, focused, honest work hours are required.
- A genuine commitment to stay long term. We invest heavily in training and we are looking for someone who wants to grow with one client for years, not move on in a few months.
- At least college undergraduate level
STRONGLY PREFERRED
- Prior experience as a scheduler or recruiter for a US home care or home health agency
- Hands-on experience with home care scheduling software (WellSky, AxisCare, SwyftOps, or similar)
YOUR HOME OFFICE MUST HAVE
- Reliable high-speed internet, plus a backup internet source
- A backup power source that can run your computer and internet through an outage
- A quiet, private, dedicated workspace with no background noise, TV, or family interruptions during your shift. This protects client confidentiality and your own professionalism.
