Virtual Assistant — Communications & Outreach (Part-Time)

We also produce a podcast, live event coverage, and email newsletters reaching a substantial audience. You'd be working directly with the founder.

The Role

I'm looking for a virtual assistant who is exceptionally strong in written communication and organization. You'll be my right hand for managing email , coordinating podcast guests, and running outreach for brand partnerships. This is a role for someone who is proactive, detail-oriented, and comfortable owning a process from start to finish.

Responsibilities

1. Inbox Management

Monitor and manage my email inbox daily
Respond to email s using reply templates and guidance I provide
Handle routine email s independently
Triage messages — flag questions, comments, and items that need my attention, and handle anything that can be easily answered

2. Weekly Reporting

Keep me up to date on what's happening and what you've completed each week
A short written summary plus a 30–60 minute check-in during the week

3. Podcast Guest Coordination (approx. 1–2 hours/week)

Work with me to build and maintain a list of potential guests for the ---------- podcast
Handle outreach to potential guests
Manage all guest communications
Schedule and organize interviews (we record one guest per week)

4. Brand & Sponsorship Outreach (approx. 2–3 hours/week)

Work with me to build a list of potential companies and brands for sponsorships and brand deals
Use research tools to find the right contacts at each company
Conduct outreach — our stretch goal is 25–50 companies per week
Track every contact carefully so we never reach out to the same person twice by mistake
Follow a structured cadence: each lead gets 2–3 touch points over a 2-month period, then is marked cold
Hand off warm leads to me — once a lead becomes a potential client, I take over management and negotiation

Requirements

Excellent written English — you'll be communicating on behalf of the brand
Strong organizational skills and attention to detail — tracking outreach accurately is essential to this role
Experience managing an email inbox for a business or executive
Comfortable with spreadsheets or CRM-style tracking
Reliable internet connection and availability for a weekly check-in call
Self-starter who can follow a process consistently without daily supervision

Nice to Have

Experience with cold outreach, lead generation, or sales support
Experience with podcast booking or guest coordination
Familiarity with email tools (Gmail), contact-finding tools (e.g., Hunter, Apollo), and scheduling tools (e.g., Calendly)
Interest in media, content creation, or Native American culture
