Location: Remote, Philippines-based preferred
Schedule: Full-Time | Mountain Time Zone business hours
Practice Location: New Mexico, USA
Compensation: $7 USD/hour based on experience

About the Role
We are looking for an experienced Orthodontic Virtual Assistant to support a U.S.-based orthodontic practice with insurance verification, claims follow-up, and patient scheduling communication. This role is ideal for someone who has strong dental or orthodontic insurance experience and is also confident speaking with patients by phone. You must be phone-ready, professional, warm, and able to communicate clearly with patients and insurance companies.

What You’ll Do
Insurance Verification
Verify dental and orthodontic insurance eligibility and benefits
Confirm coverage, deductibles, maximums, waiting periods, and limitations
Complete accurate insurance breakdowns
Document insurance details clearly in the practice management system
Flag missing, unclear, or incorrect insurance information for follow-up

Claims Follow-Up
Follow up on unpaid, denied, rejected, or delayed claims
Contact insurance companies as needed to check claim status
Review EOBs and identify payment discrepancies
Document claim updates clearly for the team
Help keep insurance and billing workflows moving accurately

Observation / Follow-Up Scheduling
Contact patients who need to schedule follow-up appointments
Support observation recall and pending appointment follow-up
Speak with patients in a warm, professional, and helpful way
Help patients understand next steps and get scheduled
Document call outcomes and follow-up needs accurately

Patient Communication
Make outbound calls to patients as needed
Communicate professionally with patients and families
Follow scripts and practice protocols while sounding natural
Escalate questions or concerns to the appropriate tea ---------- mber
Maintain a positive, patient-first tone on all calls

REQUIRED EXPERIENCE:
Experience with dental or orthodontic insurance verification
Experience with claims follow-up
Comfortable making phone calls to patients and insurance companies
Strong spoken and written English communication
Warm, clear, and professional phone presence
High attention to detail and accuracy
Strong documentation habits
Able to work independently and follow structured processes
Comfortable working full-time during Mountain Time Zone business hours

Important Role Details
This role includes both back-office insurance work and patient-facing phone communication
All candidates must be comfortable on the phone
Strong English communication is important
Exact schedule is still being finalized, but the role will align with Mountain Time Zone business hours
The practice is located in New Mexico, USA
Compensation is $7–$8 USD/hour based on experience

Insurance verifications are completed accurately and on time
Claims are followed up on consistently
Patient follow-up calls are handled warmly and professionally
Observation patients are contacted and scheduled appropriately
Documentation is clear and easy for the team to follow
The practice team receives reliable support across insurance, claims, and scheduling
