About the Role

UPDATE : We are looking for experience working in the short term rental industry (airbnb). This will be a prerequisite of the job

We are a short-term rental management company looking for a highly organized Virtual Assistant to support the admin side of our STR operations. This role is best for someone detail-oriented, accurate, reliable, and comfortable working inside Airbnb, VRBO, property management tools, spreadsheets, and task systems.

This is not primarily a guest messaging role, but customer service experience and prior Airbnb/short-term rental experience are strongly preferred. The work requires accuracy because small admin mistakes can affect guest experience, owner reporting, revenue, claims, reviews, and property performance.There may be times you can be asked to temporarily substitute customer service for a shift as needed in case there is a situation where that is missing.

Availibility
We are looking to have a shift from 12pm to 4pm PST and possibly later. Monday and Friday. Overtime is offered in the efforts of completing certain tasks the day of assignment rather than clocking out and holding more attentive / urgent tasks for the next day. If there is a hard cut off for your schedule, this may not be the best position as the tasks may require schedule flexibility especially in the event of urgent matters

Compensation
Compensation will start at $3 an hour during the probationary period. Upon official acceptance into our company, we will raise you to $3.5 an hour. If performance is spectacular/extarordinary the rate can be raised immediately to $4 an hour. Performance will be assessed again in 6-12 months for an additional raise. We do this to promote a culture of excellence and really compensate for good performance. Our business requires we provide 100% of our efforts to making the guest experience wonderful and our tea ---------- mbers must exemplify that.

We are looking for exceptional staff and are reserving higher compensation for staff members who truly demonstrate care torwards the company and their clients.

Key Responsibilities

Airbnb / Platform Admin

  • Monitor email s and messages from Airbnb support
  • Review disputes, claims, guest issues, and platform notices
  • Record, organize, and file claims properly
  • Update property information across platforms
  • Adjust minimum-night stays and booking settings
  • Copy and apply calendar rates across designated properties
  • Help maintain accurate listing information, amenities, house rules, and availability

Reviews & Guest Experience Admin

  • Cancel automated 5-star review requests for guests who had a negative experience
  • Flag guests/stays where review requests should be paused or handled carefully
  • Help organize review-related notes and guest issue history

Owner Statements, Invoices & Reporting

  • Prepare or organize owner statements
  • Record invoices and receipts
  • Keep admin records organized and easy to find
  • Assist with financial/admin tracking as instructed

Cleaning & Property Documentation

  • Upload cleaning photos to the correct property folders or platforms
  • Make sure photos are organized by property, date, and turnover
  • Flag missing, unclear, or incomplete cleaning documentation

Lead Generation

  • Research and organize leads for new cleaners, vendors, or rental properties
  • Maintain lead lists with names, contact info, location, notes, and follow-up status
  • Assist with simple outreach tasks if needed

SEO / Listing Optimization Support

  • Help update listing titles, descriptions, amenities, and keywords as instructed
  • Assist with basic SEO improvements for STR listings and rental platforms
  • Track listing updates and performance notes

Requirements

  • Prior Airbnb, STR, hospitality, or property management experience preferred
  • Strong attention to detail and ability to follow instructions exactly
  • Organized with files, spreadsheets, property information, and task tracking
  • Comfortable working with calendars, booking settings, rates, invoices, and platform admin
  • Good written English and professional communication
  • Able to work independently after training and follow SOPs without constant reminders
  • Reliable internet and consistent availability during assigned work hours

Ideal Candidate

The ideal candidate is organized, precise, and dependable. You do not need to be on guest messaging all day, but you must understand that every admin task affects the guest experience, owner trust, and company performance. We are looking for someone who can quietly handle important backend tasks, stay consistent, and prevent mistakes before they become bigger problems.
