We're expanding our operations team — and we're looking for a sharp, polished, and proactive Assistant Operations Manager to be the professional frontline between our clients and our Singapore leadership team.
This is a long-term, full-time position with real career growth for the right person.
YOUR ROLE
You'll work directly with our Operations Manager and Singapore-based Director, supporting the full client journey — from onboarding through to programme completion — while ensuring backend operations run accurately and on time.
Your main responsibilities:
> Manage client onboarding, scheduling, confirmations, and reminders per SOP
> Handle professional client communications via phone, Zoom, and messaging platforms
> Coordinate with Singapore-based coaches and leadership on session logistics and events
> Maintain accurate records across CRM systems, trackers, and shared drives
> Support webinar logistics — registration follow-ups, nurture calls, and attendance confirmation
> Monitor group chats, respond to client queries, and escalate where needed
> Conduct call audits and document client interaction logs
> Uphold confidentiality and professional standards at all times

YOU'RE A GREAT FIT IF YOU HAVE:
> Excellent English — written and spoken, polished and professional
> Typing speed of at least 45 WPM
> A warm, confident phone and Zoom presence — clients will speak with you directly
> Strong organisational skills and attention to detail
> Experience in client-facing roles: corporate admin, BPO, hospitality, customer success, or similar
> Proficiency with Google Workspace, CRM tools, and Zoom
> Reliable internet with a backup plan
> A quiet, professional home workspace with webcam and good lighting
> A track record of follow-through, accuracy, and proactive communication
NOT A GOOD FIT IF YOU:
> Have other part-time or freelance commitments
> Are uncomfortable speaking directly with clients on calls
> Struggle with deadlines, SOPs, or working independently
> Need to be reminded to complete recurring tasks
> Respond to challenges with excuses instead of solutions
> Have frequent internet or power disruptions without a contingency plan
We need someone who takes ownership, communicates without being prompted, and holds themselves to a high standard.
WORK HOURS
Tuesday to Saturday | 1:00 PM – 10:00 PM (Singapore Time) Aligned with our Singapore operations and client base.
