We're looking for an organized and proactive Administrative Assistant to support a fast-growing U.S.-based home services business.
In this role, you'll help ensure day-to-day operations run efficiently by maintaining accurate records, managing administrative processes, and providing operational support across the business. If you thrive in a structured environment and enjoy keeping things organized behind the scenes, we'd love to meet you.
This is an administrative and operations-focused position and does not involve customer service responsibilities.
Key Responsibilities:
- Prepare invoices, service-related documents, and other business forms
- Handle warranty registrations and rebate submissions
- Maintain organized, accurate, and up-to-date company records
- Manage and update files across multiple platforms and systems
- Create, schedule, and publish social media content
- Provide general administrative support and assist with special projects
- Help office managers with scheduling, coordination, and operational workflows
- Monitor tasks and project timelines to help ensure deadlines are met
Qualifications:
- Previous experience as a Virtual Assistant, Administrative Assistant, Operations Assistant, Project Coordinator, or in a similar administrative role
- Strong written and verbal English communication skills
- Excellent organizational abilities with strong attention to detail
- Capable of working independently while managing multiple tasks and priorities
- Quick to learn new software applications and digital tools
- Hands-on experience with CRM platforms, project management software, and AI productivity tools
Preferred Qualifications:
- Experience supporting Service Trade businesses (HVAC, Solar, Electrical, Plumbing, or related industries) is REQUIRED
- Experience with permit processing, warranty registrations, rebate applications, or compliance documentation
- Experience creating and scheduling social media content
- A track record of improving administrative workflows and operational processes
Work Schedule:
- Fully Remote, Full-Time Position
- Monday to Friday (US Business Hours)
