We're looking for an organized and proactive Administrative Assistant to support a fast-growing U.S.-based home services business.

In this role, you'll help ensure day-to-day operations run efficiently by maintaining accurate records, managing administrative processes, and providing operational support across the business. If you thrive in a structured environment and enjoy keeping things organized behind the scenes, we'd love to meet you.

This is an administrative and operations-focused position and does not involve customer service responsibilities.

Key Responsibilities:

  • Prepare invoices, service-related documents, and other business forms
  • Handle warranty registrations and rebate submissions
  • Maintain organized, accurate, and up-to-date company records
  • Manage and update files across multiple platforms and systems
  • Create, schedule, and publish social media content
  • Provide general administrative support and assist with special projects
  • Help office managers with scheduling, coordination, and operational workflows
  • Monitor tasks and project timelines to help ensure deadlines are met

Qualifications:

  • Previous experience as a Virtual Assistant, Administrative Assistant, Operations Assistant, Project Coordinator, or in a similar administrative role
  • Strong written and verbal English communication skills
  • Excellent organizational abilities with strong attention to detail
  • Capable of working independently while managing multiple tasks and priorities
  • Quick to learn new software applications and digital tools
  • Hands-on experience with CRM platforms, project management software, and AI productivity tools

Preferred Qualifications:

  • Experience supporting Service Trade businesses (HVAC, Solar, Electrical, Plumbing, or related industries) is REQUIRED
  • Experience with permit processing, warranty registrations, rebate applications, or compliance documentation
  • Experience creating and scheduling social media content
  • A track record of improving administrative workflows and operational processes

Work Schedule:

  • Fully Remote, Full-Time Position
  • Monday to Friday (US Business Hours)
