About the Role

Full-time or Part-time| Permanent work from home | US Eastern hours | IQ 124+

Viderity, Inc. is a US federal IT consulting firm based in Virginia. We provide technology and digital transformation services to US government agencies. We are a small team, and you will work directly with the CEO. We are looking for an experienced Operations Manager to own the administrative machinery that keeps a government contractor compliant, staffed, and paid.
This is a long-term position with real responsibility, not a task-based VA role. You will manage recurring processes independently, communicate directly with US-based employees and partner companies, and be trusted to make sure nothing falls through the cracks.

Your Responsibilities

HR and Employee Support

—Manage the HR email inbox and answer employee questions on benefits, leave, timekeeping, and company policy, escalating to the CEO only when needed
—Support benefits enrollment for new hires (health, dental, vision, 401(k)) and assist employees with processes like short-term disability claims
—Process onboarding and offboarding in ADP Workforce Now, including employment and benefits profiles and state payroll tax account registrations
—Coordinate recruiting: manage the recruiting mailbox, log resumes, schedule interviews, send written dispositions to candidates and partner firms, and track open positions to fill

Timekeeping and Invoicing

—Set up new employees in Unanet with correct project, task, and labor category charge codes, train them on time entry, and monitor their first timesheet cycles for errors
—Review timesheets every cycle and catch charge code or hours errors before they reach billing

Technical Recruiting Management

—Own the full recruiting cycle for open positions: intake of the requirement, posting, resume collection, screening coordination, interviews, disposition, and handoff to onboarding
—Maintain a recruiting tracker for every open requisition showing position, contract, labor category, candidates in process, current stage, and days open, and report status weekly
—Coordinate with our recruiting vendors and subcontractor partners: send them position requirements and job descriptions, log incoming resumes, and communicate selections and rejections in writing
—Schedule technical screens and interviews across US time zones and keep candidates warm with prompt, professional communication
—Pre-screen resumes against labor category requirements (education, years of experience, certifications, clearance eligibility) and flag gaps before they reach the technical reviewers
—Prepare selected candidate packages for client resume review and approval, and track approval status
—For mid-contract replacements, track remaining position hours so backfills are scoped correctly
—Watch for resume fraud signals (inconsistent dates, unverifiable employers, identity mismatches) and flag anything suspicious before a candidate advances

Compliance and Account Management

—Keep our state tax, payroll, insurance, benefits, and registration accounts current so renewals happen on time, no form goes unfiled, and no invoice goes unpaid
—Track required annual training completion and signed compliance forms for all staff, with audit-ready records

Contract Administration

—Document new contract awards and contract modifications in organized contract files with key dates and requirements
—Maintain personnel compliance trackers (background investigation status, badge status, expiration dates) for our staff and subcontractor staff
—Track subcontractor insurance certificates and required annual certifications, chase renewals before they lapse, and file signed responses

Social Media and Communications

—Prepare posts and post regularly to our LinkedIn and other company channels: contract announcements, certifications, and industry content
—Support press releases and company communications

Requirements

—Excellent written and spoken English. Most of this job is writing clear, professional email s to US employees, partner companies, and vendors. Your English must be indistinguishable from a US-based operations professional.
—Hands-on experience with Unanet is strongly preferred. Experience with another US government contractor timekeeping and billing system is acceptable.
—Hands-on experience with ADP (Workforce Now preferred), including onboarding, employee records, and payroll-adjacent tasks.
—Exceptional attention to detail. Errors in charge codes, filings, or certifications cost real money. You should be the kind of person who is bothered by a missed deadline.
—Ability to manage many small recurring workstreams independently without reminders.
—Discretion with confidential personnel, salary, and contract information.
—Available during US Eastern business hours (9pm to 5am Philippine time). This is firm; the role requires same-day responsiveness to US employees.
—Reliable high-speed internet, backup power and internet solution, and a quiet workspace.

Nice to Have

—Prior work for a US government contractor or consulting firm
—Familiarity with US payroll and state tax registrations, such as unemployment insurance
—Social media or communications experience
