We are a growing plumbing company in Ontario, Canada, looking for a reliable and organized virtual assistant from the Philippines.
This position will start at approximately 2–3 hours per day and may increase to more hours or full-time as you learn the business and take on more responsibility.
Main Responsibilities
- Update customer, lead, and job-tracking sheets
- Enter and update leads in our CRM
- Track lead status, follow-ups, booked jobs, estimates, and payments
- Enter appointments into Google Calendar
- Prepare work orders and job information for plumbers
- Collect job notes, photos, receipts, and material details
- Prepare invoices, estimates, and service reports
- Record payments and track unpaid invoices
- Enter receipts and business expenses
- Organize customer and company files
- Prepare daily follow-up lists for the owner
- Help manage the schedules of up to five plumbers after training
Requirements
- Strong written and spoken English
- Excellent attention to detail
- Experience with Google Sheets, Docs, Gmail, and Calendar
- Experience using a CRM or customer-management system
- Reliable internet and computer
- Ability to work independently
- Honest, organized, and dependable
- Comfortable working some hours during Ontario business hours
Preferred Experience
Experience in any of the following will be a strong advantage:
- Sales or customer follow-up
- Lead management
- CRM management
- Appointment setting
- Customer service
- Bookkeeping or invoicing
- Dispatching or scheduling
- Construction, plumbing, HVAC, electrical, or home-service companies
Applicants with strong sales experience may receive more responsibilities, more working hours, and future opportunities to help with customer follow-up, lead conversion, and appointment booking.
Training will be provided. Plumbing experience is not required.
