Position Summary
The Recruiter will support TeamPHCA’s hiring and operational workflows, ensuring a smooth and efficient recruitment process. This role will manage the end-to-end Quick Start hiring process, maintain candidate documentation, support operational workflows, and provide timely communication and reporting to leadership. The ideal candidate is highly organized, detail-oriented, and proactive in delivering a seamless experience for applicants, staff, and leadership.?

Key Responsibilities
Recruitment Support (Quick Start Process)

Manage the Quick Start hiring workflow, moving applicants from application ? document completion ? credential collection ? onboarding.

Review incoming applications daily and follow up on missing information, required documents, and credential updates.

Collect and track credentials including clearances, physicals, training certificates, identification, and compliance documents.

Maintain organized candidate profiles using ---------- , IntakeQ, or other platforms as required.

Schedule interviews, onboarding sessions, orientations, and follow-up calls.

Communicate professionally with candidates to ensure a smooth, responsive hiring experience.

Prepare candidate files, ensuring HR and regulatory compliance before hire.

Operational & Workflow Support

Update ---------- boards for recruitment, case management, onboarding, training, and internal operations.

Track tasks, follow up on overdue responsibilities, and close loops with staff and leadership.

Support the Executive Assistant with daily operational updates and reporting.

Help maintain accuracy across calendars, staffing, meeting coordination, and task assignments.

Communication & Reporting

Provide daily and weekly updates directly to the Executive Assistant.

Maintain clear, professional, and timely communication with applicants, new hires, current staff, case managers, families, and executive leadership.

Provide structured updates during meetings, including data on recruitment status, credential completion, check-in status, and upcoming deadlines.

Skills & Qualifications
Prior experience in recruitment and administrative support preferred.

Strong proficiency with ---------- , Google Sheets, Gmail, and other digital organizational tools.

Excellent written, verbal, and interpersonal communication skills.

Highly organized with strong attention to detail and accuracy.

Ability to manage multiple priorities and follow up consistently.

Strong understanding of confidentiality and compliance expectations.

Proactive, solutions-oriented mindset with the ability to anticipate needs.

Comfortable working in a fast-paced, structured, and evolving environment.

Work Environment & Expectations
Operate with professionalism, confidentiality, and urgency.

Maintain a thorough understanding of both staff and clients, including schedules and needs.

Actively participate in tea ---------- etings and provide updates as requested.

Uphold consistency in documentation, timely reporting, and workflow accuracy.

Pay is bi-weekly with our current pay period
