Property Management Assistant with DoorLoop Experience (Male)

We are looking for a highly organized and experienced Property Management Assistant to support daily property management operations for a growing real estate/property management business.
The ideal candidate must have prior property management experience and hands-on experience using DoorLoop or a similar property management software. This role requires someone who can work independently, communicate professionally with tenants, and assist with rent collections, maintenance coordination, reports, documentation, compliance tracking, and general administrative support.
Work Schedule:
Monday to Friday, 9:00 AM to 5:00 PM Eastern Time
Key Responsibilities:
- Manage and update tenant, property, lease, and maintenance information in DoorLoop
- Assist with rent collection tracking and follow up immediately with tenants who have unpaid rent
- Help maintain a strong rent collection process, including payment plan coordination or eviction process support when needed
- Prepare simple monthly financial reports, including Profit & Loss and cash flow reports
- Assist with accounts payable by tracking and paying recurring and operating bills on a weekly basis
- Start lease renewal follow-ups 65 days before expiration and help maximize rent increases where allowed
- Assist with housing recertifications, including HUD recertifications and DHCR filings
- Track insurance policies and begin shopping for replacement coverage 90 days before renewal
- Reconcile bank accounts on the 1st, 11th, and 21st of each month and complete reconciliations within 4 days
- Maintain accurate books, chart of accounts, and reconciliation records for bank and mortgage accounts
- Complete required city and state filings on time, including HPD and DCA requirements
- Coordinate with maintenance whenever repairs are needed for compliance
- Coordinate maintenance requests and communicate updates with tenants/vendors
- Prepare monthly property update reports covering vacancies, leasing activity, unpaid rent, evictions, major repairs, compliance issues, and property risks
- Handle tenant communication through text, email , or DoorLoop communication tools
- Maintain organized files in Google Drive, Google Sheets, and Excel
- Provide daily updates or end-of-day reports on completed tasks
Qualifications:
- Prior experience in property management is required
- DoorLoop experience is strongly preferred
- Experience with tenant communication, maintenance coordination, rent tracking, and property documentation
- Familiarity with Google Drive, Google Sheets, Microsoft Excel, and email tools
- Basic bookkeeping or accounting knowledge is a plus
- Experience with accounts receivable, accounts payable, reconciliation, lease renewals, and compliance tracking is preferred
- Strong written English communication skills
- Detail-oriented, organized, reliable, and able to work with minimal supervision
- Comfortable working during Eastern Time business hours

- Property management software such as Buildium, Rent Manager, AppFolio, or similar platforms
- Real estate/property management administration
