About the Role

We are looking for an experienced, reliable and highly organized bookkeeper to help bring the accounting records for two Canadian companies fully up to date and prepare clean year-end files for our Canadian accountant.

The companies are:

  • WMC, a consulting and investment-related company
  • Rockify.Ai, a consulting, technology and business-development company

This position will begin as a project-based, part-time engagement. After the initial bookkeeping cleanup and year-end preparation, there may be ongoing monthly or quarterly work.

Depending on the continued growth of Rockify, CharterOps and related aviation businesses, this role could eventually expand into a larger part-time or full-time accounting and administrative position.

We are not promising full-time employment immediately, but we would prefer to find someone capable of growing with us rather than hiring only for a one-time assignment.

Initial Responsibilities

  • The initial project will include:
  • Reviewing the existing bookkeeping for both companies
  • Bringing all transactions fully up to date
  • Categorizing income and expenses accurately
  • Reconciling bank accounts and credit cards
  • Identifying duplicate, missing or incorrectly categorized transactions
  • Reviewing outstanding accounts payable and accounts receivable
  • Organizing receipts, invoices and supporting documents
  • Tracking expenses paid personally by the owner on behalf of the companies
  • Reconciling shareholder loans, owner contributions and withdrawals
  • Reviewing and organizing intercompany transactions
  • Preparing GST-related information and supporting schedules
  • Preparing profit-and-loss statements and balance sheets
  • Preparing clean year-end working papers for our Canadian accountant
  • Responding to routine questions from the accountant during year-end preparation
  • Identifying any bookkeeping issues that need to be corrected

Potential Ongoing Responsibilities

  • After the initial project, the role may include:
  • Monthly or quarterly bookkeeping
  • Bank and credit-card reconciliations
  • Accounts payable and accounts receivable tracking
  • Customer invoicing
  • Expense and receipt management
  • GST reporting support
  • Cash-flow tracking
  • Monthly financial reporting
  • Budget-versus-actual reporting
  • Contractor and supplier payment tracking
  • Maintaining organized accounting records
  • Coordinating with our Canadian accountant
  • Supporting additional businesses as they grow

Preferred Experience
-The following experience would be a strong advantage:
-Working with Canadian companies
-Knowledge of Canadian GST
-Canadian corporate year-end preparation
-Experience with consulting, technology, investment or aviation businesses
-Shareholder loan accounting
-Intercompany transaction accounting
-Working directly with external accountants
-QuickBooks Online accounting software
-Creating bookkeeping procedures and financial reporting systems

The successful applicant will not be expected to independently file Canadian corporate tax returns. The role is to maintain accurate books and prepare clean, complete information for our Canadian accountant.
