Location: Remote – Philippines

Hours: Approximately 10 hours per week initially

Salary: Competitive hourly rate, depending on experience. Paid monthly.

I'm Steve, Managing Director of Varissa, a growing UK business specialising in residential mortgages, commercial finance, vehicle finance and prestige vehicle sourcing.

I'm looking for someone to become a trusted, long-term member of our team, working directly with me to help deliver exceptional customer service while keeping the business organised and efficient.

This is not a generic Virtual Assistant role.

We're looking for someone who enjoys building relationships with customers, takes pride in their work, follows tasks through to completion and genuinely enjoys helping people.

As the business grows, so will this role.

About the Role

This is a varied role combining:

Customer Relationship Management
Administration
Mortgage Administration
Vehicle Finance Support
Vehicle Sourcing
Vehicle Presentation & Marketing
General Business Operations

Your primary responsibility is simple:

Deliver exceptional customer service while ensuring every customer and every case progresses efficiently from enquiry through to completion.

Your Responsibilities

You will:

Deliver exceptional customer service by telephone and email .
Build strong, long-term relationships with customers.
Support residential mortgage, buy-to-let and commercial finance applications.
Chase customers for outstanding documentation.
Liaise with lenders, solicitors, dealerships, manufacturers and suppliers.
Support vehicle sourcing and vehicle finance enquiries.
Research vehicle availability, pricing and specifications.
Prepare quotations, customer presentations and documentation.
Create and improve vehicle advertisements, images and marketing material using AI tools.
Update HubSpot CRM and maintain accurate customer records.
Manage diaries, email inboxes and follow-up actions.
Help improve business systems and processes.
Ensure every customer is kept informed throughout their journey.
The Ideal Candidate

You will probably have experience in one or more of the following:

Mortgage Administration
Banking
Financial Services
Vehicle Finance
Automotive Administration
Customer Service
Sales Administration
Executive or Operations Administration

Full training will be provided.

Essential Skills

You must:

Speak fluent English.
Write professional business email s.
Have an excellent telephone manner.
Enjoy speaking with customers.
Be highly organised.
Have exceptional attention to detail.
Be proactive rather than waiting to be asked.
Take ownership of your work.
Follow every task through to completion.
Work confidently on your own.
Be comfortable using Microsoft Office.
Be confident learning and using CRM systems such as HubSpot.
Be comfortable using AI tools such as ChatGPT to improve productivity.
Working Hours
Approximately 10 hours per week initially.
You must be available during UK morning business hours (approximately 8:30am–12:30pm UK time).
We expect the role, hours and responsibilities to grow as the business grows.
Salary is paid monthly.
Technical Requirements

Applicants must have:

Reliable high-speed fibre internet.
A quiet, professional home office.
A modern Windows PC or laptop.
A minimum of two monitors/screens.

This role involves working across multiple systems simultaneously including CRM software, lender portals, dealership websites, email , spreadsheets and customer documents. A dual-screen setup is therefore essential.

You must also have:

A good quality headset suitable for customer telephone calls.
A webcam for Microsoft Teams and Zoom meetings.

If you do not currently have a dual-screen setup, you must be willing to have one in place before starting the role.

Please Note

This is a dedicated role.

We are looking for someone who wants to become a long-term member of our team and grow with the business.

During your agreed working hours, you will be expected to work exclusively for Varissa. If you intend to work for multiple employers during the same hours, this role is unlikely to be suitable.

As part of the recruitment process, shortlisted applicants will be invited to a video interview and asked to complete a short practical exercise relevant to the role.
