EXECUTIVE ASSISTANT TO THE CEO

Force multiplier wanted. Calendar-keepers need not apply.

Granite State Business Holdings (GSBH) | Remote | Full-Time

This isn't a traditional Executive Assistant role.

We're looking for someone who enjoys building systems, embraces AI as a way of working, and wants to help shape how a modern company operates.

This role isn't just about managing calendars or responding to email s. It's about creating leverage—using systems, technology, and sound judgment to help our CEO focus on the highest-value work that grows the business.

WHAT THIS ROLE REALLY IS

This isn't a traditional assistant role. Your job is to create leverage by building systems, eliminating distractions, and helping the CEO spend more time on strategy, leadership, and growth.

A major responsibility of this role will be helping build and maintain our internal Brain Trust—our executive knowledge system.

The Brain Trust captures executive decisions, company knowledge, relationships, meeting history, projects, initiatives, and important context so nothing valuable gets lost. You'll help organize it, improve it, and continually explore how AI can make it even more useful over time.

You'll also build SOPs, documentation, executive workflows, and operational systems that help the company scale.

This is what makes this role different from almost every Executive Assistant position you'll find.

WHAT YOU'LL OWN

  • Protect and optimize the CEO's calendar.
  • Manage and prioritize the CEO's inbox.
  • Prepare meeting agendas, briefing materials, and follow-up action items.
  • Capture executive decisions and maintain our Brain Trust.
  • Build SOPs, checklists, templates, dashboards, and documentation.
  • Track priorities across multiple companies and leadership teams.
  • Coordinate executive projects, travel, meetings, and recurring responsibilities.
  • Continuously explore how AI can improve executive operations and internal systems.
  • Anticipate problems before they happen and build systems that prevent them from happening again.

WHAT SUCCESS LOOKS LIKE

CEO High-Value Time

By the end of Month 3, at least 70% of the CEO's scheduled hours are dedicated to strategy, leadership, and growth activities.

Action Item Closure

At least 90% of commitments captured during meetings are completed by their committed deadlines.

Brain Trust Currency

Executive documentation is updated within 24 hours of relevant decisions, personnel changes, or new initiatives.

Meeting Preparation

Meeting agendas and briefing materials are delivered at least 2 hours before meetings requiring preparation at least 95% of the time.

You don't need to know everything.

We're looking for someone who is:

  • An excellent written communicator.
  • Comfortable managing multiple priorities simultaneously.
  • Curious about AI and already experimenting with it in your work.
  • Coachable and excited to continually improve your skills.
  • Comfortable working independently with minimal supervision.
  • Someone who enjoys solving problems instead of simply completing tasks.

Executive Assistant experience is important, but we value initiative, adaptability, communication, curiosity, and systems thinking just as much.

AI-FIRST MINDSET

AI is becoming a core part of how we operate, and this role will play an important part in that journey.

We're not looking for an AI expert.

We're looking for someone who has already begun experimenting with AI tools to improve how they work.

Whether you've used ChatGPT, Claude, Gemini, Perplexity, Microsoft Copilot, or other AI tools, we're interested in how you've used them to save time, organize information, improve communication, automate repetitive work, or build better systems.

More importantly, we're looking for someone who enjoys learning, testing new ideas, and continuously improving alongside our team.
