About the Role

We are seeking a highly organized and strategic Executive Assistant to support our CEO. This role goes beyond traditional administrative support, requiring a proactive partner who can anticipate needs, manage priorities, and help the CEO operate at maximum efficiency. The ideal candidate will be someone who thinks strategically, is highly detail-oriented, and possesses the foresight to manage time and resources effectively. This person will be a key confidante for the CEO, handling email , calendar management, coordination of personal and professional activities, and serving as a reliable buffer to create valuable time for the CEO.

Key Responsibilities:

-Email Management & Organization
Manage and streamline the CEO’s inbox for efficiency and accessibility.
Prioritize and highlight critical communications for the CEO’s attention.
Maintain a logical and intuitive email organization system without overcomplicating folders.
Filter, delegate, and respond to routine email s to optimize workflow.

-Calendar Management & Strategic Planning
Oversee the CEO’s schedule, proactively resolving conflicts and planning ahead.
Monitor the calendar 2–3 weeks in advance to ensure readiness for key meetings and deadlines.
Coordinate meetings and events with internal and external stakeholders, aligned with priorities.

-Operational & Personal Coordination
Assist with professional and personal tasks, including travel and appointments.
Serve as a bridge between the CEO and the leadership team, handling non-critical communications.
Protect the CEO’s time and confidentiality with discretion and reliability.

-Project Support & Follow-Through
Coordinate timelines, resources, and progress tracking for CEO-led initiatives.
Prepare reports, presentations, and other materials for meetings.
Proactively identify and address areas where additional support may be needed.

-Proactive Task & Resource Management
Anticipate the CEO’s needs and implement solutions to manage workload and resources.
Organize and maintain accessible documents and files.
Act as a contact point to streamline requests for information or resources.

Key Qualifications:

-Proven experience (5+ years) as an Executive Assistant to a CEO or senior executive.
-Bachelor’s degree in Business, Communications, or related field (or equivalent experience).
-Highly organized with strong attention to detail and commitment to consistency.
-Demonstrated ability to manage email and calendars with a proactive approach.
-Strong written and verbal communication skills.
-Discreet, trustworthy, and able to handle sensitive information with the highest confidentiality.
-Skilled in Microsoft Office Suite, Google Workspace, and other productivity tools.
