About the Role

We are seeking a highly organized, detail-oriented, and creative Virtual Assistant to support an agricultural sales and marketing business. This position will help manage email communications, newsletters, customer databases, scheduling, marketing projects, and administrative tasks.
The ideal candidate is proactive, dependable, has strong written English skills, and enjoys creating professional marketing materials while keeping business operations organized and running efficiently.

Primary Responsibilities:
?? ?Email & Communication Management

  • Monitor and organize email inboxes daily
  • Draft and respond to email s on behalf of management
  • Flag urgent messages and prioritize follow-up actions
  • Send customer follow-ups and reminders
  • Maintain confidentiality and professionalism in all communications
  • Assist with client communication and customer service requests

— Newsletter Management

  • Create and maintain two recurring newsletters
  • Build and manage newsletter templates using Canva, Mailchimp, Constant Contact, or similar platforms
  • Format content provided by management
  • Insert photos, graphics, event information, and sponsor recognition
  • Maintain subscriber lists
  • Schedule newsletter distribution
  • Track open rates and engagement metrics
  • Ensure newsletters are sent on schedule

— Marketing & Design Support

  • Create flyers, brochures, and promotional materials using Canva
  • Design social media graphics and marketing content
  • Create customer handouts and presentations
  • Maintain a library of reusable marketing templates
  • Organize digital photos and marketing assets

— Administrative Support

  • Manage calendar appointments and scheduling
  • Coordinate travel arrangements when needed
  • Organize digital files and documents
  • Create and maintain spreadsheets and reports
  • Prepare meeting agendas and notes
  • Support day-to-day administrative operations

— Customer & Sales Support

  • Update customer contact databases
  • Maintain CRM records
  • Organize prospect and customer lists
  • Track customer outreach efforts and marketing campaigns
  • Assist with sales support activities and follow-up communications

— Research & Special Projects

  • Conduct internet research
  • Gather information for marketing initiatives and business projects
  • Assist with event planning and coordination
  • Support community, nonprofit, and special projects as needed

Preferred Qualifications

  • Excellent written and spoken English
  • Previous Virtual Assistant experience
  • Strong Canva skills
  • Experience with email marketing platforms
  • Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Strong organizational and time-management skills
  • Exceptional attention to detail
  • Ability to work independently
  • Reliable internet connection
  • Professional communication skills

  • Save management several hours each week by handling routine administrative and marketing tasks
