Pay Rate: $8.00 – $10.00 USD/ hour (Based on experience / Paid weekly via Wise or PayPal)
Target Location: Philippines (Graveyard Shift)
We are a fast-growing, highly organized lawn care company operating in the Philadelphia, USA market, managing a high volume of weekly accounts. Our field crews are completely mobile and they receive 100% of their daily routing and job assignments directly on their phones via our proprietary field service app.
We are currently at a critical scaling point, and the business owner needs to completely step out of the office to focus on field expansion and team development.
We are looking for a mature, independent, high-level Operations Manager to completely take over our backend logistics, route optimization, financial gatekeeping, and digital client growth.
The Core Mission
This is not an entry-level virtual assistant role. You will not have a pre-written training manual on day one. Instead, you will shadow the business owner via live video calls, learn our market logic, and build the operational playbook yourself.
Your goal is to optimize our route density, protect our revenue through flawless billing verification, and actively manage platform-to-direct client conversions to maximize company efficiency and growth.
For this year, the position is a seasonal contract running through mid-November. If we find the correct candidate, when we bring you back next March, it will be with the explicit intention of transitioning the role into a permanent, full-time, year-round management position as we expand into phone sales and handle incoming local advertising leads.
Daily Responsibilities
Billing & Financial Gatekeeping: Take full ownership of the daily invoicing cycle. Ensure all client billing is processed accurately and on time through our digital systems.
- Field Data & Photo Verification: Cross-reference completed jobs by matching GPS tracking data and crew-uploaded completion photos against the work orders before invoices are sent out. You are the final line of defense for quality and billing accuracy.
- Central Customer Communications: Act as the voice of the office. Handle 100% of day-to-day client communications, support requests, and scheduling updates through our proprietary applications and platfor ---------- ssaging centers.
Platform Filtering & Viability
Review incoming jobs on our third-party vendor platforms. Drop properties into satellite maps to verify dimensions, analyze the payout viability, and determine if it makes operational sense for our routes.
Route Density Management
Optimize schedules inside our proprietary field app to ensure properties are grouped tightly together, minimizing truck drive time and maximizing crew profitability per hour.
Database & Conversion Tracking: Securely track client data from vendor platforms, moving them into our central direct database so we can execute off-platform brand conversion campaigns.
Mandatory Workspace & Tech Requirements:
- Work Environment: You must have an isolated, private, and completely quiet dedicated home office workspace. There must be zero background noise (no family members, neighborhood traffic, or animals in the background).
Audio Quality: A professional, noise-canceling USB headset with a high-quality microphone is mandatory. Your audio must sound crystal clear, with no hollow "can" or echoing sounds.
Internet Infrastructure: A primary high-speed fiber internet connection (minimum 50 Mbps) with a direct Ethernet connection to your computer (no unstable Wi-Fi).
Power & Net Redundancy: A mandatory backup power source (UPS or generator) and a secondary backup internet source (pocket Wi-Fi or data hotspot) to guarantee 100% uptime during U.S. business hours.
Requirements
**Experience: 3+ years as a Remote Operations Manager, Billing Coordinator, or Dispatcher for a U.S.-based service industry business.
- Platform Knowledge: Hands-on experience navigating high-volume field service apps, billing dashboards, or dispatching platforms (Jobber, Service Autopilot, or similar on-demand service networks) is highly preferred.
- Skillset: Exceptional written English with a sharp eye for mathematical detail and data verification. You must be comfortable taking a verbal explanation over a video call, capturing the notes, and turning it into a structured system.
