I'm looking for a high-level Personal Executive Assistant to work directly with me as my right hand. This is not a basic admin job, and I'll be upfront: this is a demanding role. You will operate closely with me day-to-day helping manage my calendar, priorities, communication, projects, and personal logistics as our startup scales fast.
I'm the co-founder of BookDrop, a rapidly growing bulk book logistics and resale company. Our environment moves quickly and expectations are high. I need someone who is organized, proactive, warm in communication, and genuinely hungry to be the best executive assistant they can possibly be. Not someone looking for a comfortable job. Someone looking to be great at this.
This is a full-time remote role based in the Philippines working Arizona hours (starting 5:00 AM AZ time). Expect roughly 50-60 hours per week. This is not a job for the weak. It IS a job for someone who wants to be trusted with real responsibility, grow alongside a scaling company, and become indispensable to an executive long-term.
WHAT YOU'LL DO
Act as my right-hand partner in daily execution and organization
Manage calendar, scheduling, reminders, and priorities
Organize communication, follow-ups, and task tracking
Support operations, growth projects, and leadership workflows
Build clean systems in Google Sheets and other tools
Use AI tools (Claude, ChatGPT) daily to draft, research, organize, and move faster
Help reduce noise so I can stay focused on high-level work
This role requires serious initiative. You don't wait to be told every step. You think ahead, bring solutions, and stay steady even when things move fast. A lot will be expected of you, and the right person will love that.
REQUIRED SKILLS
-Advanced Google Sheets skills
-Real, hands-on experience using AI tools like Claude or ChatGPT (this is non-negotiable, you should be using AI as a daily work multiplier, not just something you've tried once)
-Strong English communication (written and spoken)
-Highly organized and comfortable juggling many priorities at once
-Tech-savvy and quick to learn new tools
-Reliable internet and ability to work US hours
PREFERRED EXPERIENCE
Supporting founders or C-level leaders
Project management or workflow systems
Automation, systems thinking, or building AI-powered workflows
