We're placing an Executive Integrator alongside a U.S.-based founder-operator. This is not a general admin role. You'll be the right hand who organizes the founder, aligns the team, and keeps work on track. When priorities shift, you're the one who makes sure nothing falls apart. You'll run the operating cadence using AI to move faster than a manual assistant could.

WHAT YOU'LL OWN:

Manage the founder's calendar, inbox, and communications, protecting their time and surfacing what matters
Run the operating cadence: meeting prep, agendas, follow-ups, and accountability on action items
Coordinate projects across the team, tracking priorities, deadlines, and handoffs
Manage vendor and partner relationships, scheduling, and coordination
Draft and route communications on the founder's behalf using AI to speed the work
Keep projects and tasks accurate in the team's tools, with clear status visible at a glance
Flag conflicts, bottlenecks, and slipping deadlines before they become problems
Build lightweight automations and SOPs that take recurring work off the founder's plate

TOOLS YOU SHOULD KNOW (some or all):

Notion, ClickUp, or Asana for project and task management
Google Workspace or Microsoft 365
Google Calendar or Outlook Calendar
Zapier or Make for workflow automation
Claude and ChatGPT (AI fluency is tested, not assumed)
Slack, Zoom, or phone/SMS coordination

WHO WE'RE LOOKING FOR:

2+ years in an executive assistant, chief of staff, operations, or integrator-type role
AI-fluent: you already use Claude or ChatGPT to move faster, and you can build a simple automation
Strong written and verbal English communication
You think fast and adapt when priorities change (and they will)
You manage multiple projects and stakeholders simultaneously without losing track
You're proactive about flagging conflicts and solving them before they escalate
You handle confidential information with discretion
Comfortable working U.S. business hours aligned with your client's time zone
Stable internet connection and a professional remote work setup
