Position Overview

The Operations Integrator is a hybrid execution leader and hands-on operator responsible for ensuring the business runs efficiently while actively contributing to key operational functions.

Working directly with the COO, you will:

Drive execution across all departments
Hold tea ---------- mbers accountable to deadlines and commitments
Step into operational gaps whenever needed
Support contracts, reporting, recruiting, CRM management, marketing, bookkeeping, and financial reporting
Ensure leadership initiatives are executed successfully

This is a working leadership role, not a passive management position.

You are the person who makes sure:

Leadership vision becomes reality
Operational gaps are solved immediately
The business continues moving forward every day

Key Responsibilities
1. Execution, Accountability & Project Management
Track all active projects across operations, marketing, recruiting, and administration
Manage project timelines using Google Sheets and project management tools
Ensure deadlines are met across departments
Remove bottlenecks quickly
Hold tea ---------- mbers accountable through regular check-ins
Provide progress updates directly to the COO
Report:
Completed vs. incomplete tasks
Operational gaps
Recommended solutions
Next action items
Align priorities with executive leadership
2. Contract & Transaction Support

Provide backup support for the transaction team by:

Writing purchase offers
Preparing contract addendums
Reviewing contracts for accuracy
Maintaining compliance throughout transactions
Supporting agents during contract negotiations
Training agents on contracts and transaction procedures when needed
3. ISA & Database Management
Conduct outbound calls for database re-engagement
Perform lead follow-up
Identify qualified opportunities
Route hot leads to agents
Monitor CRM health
Improve database quality
Ensure consistent follow-up across the pipeline
4. Reporting & Business Performance

Monitor and report on key business metrics, including:

Lead flow
Agent productivity
Pipeline movement
Appointment Set
Appointment Met
Conversations
Calls
Conversion rates
Business Scorecards
Sales pipeline health
Opportunities
Client performance
Agent performance
5. Bookkeeping & Financial Support
Manage QuickBooks reporting
Track revenue and expenses
Assist with budgeting
Prepare financial reports for executive leadership
Cash flow tracking
Forecasting support
Recommend financial optimization strategies
6. Operations Support

Serve as the operational utility player by assisting with:

CRM cleanup
Agent onboarding
Recruiting and onboarding new tea ---------- mbers
Marketing coordination
Technical system troubleshooting
Lead assignment
Zillow lead management
Answering incoming calls
Operational coverage during absences
Ensuring all business systems function properly
7. Marketing Support

Work alongside the marketing team to:

Ensure deliverables are accurate and on schedule
Support content execution
Maintain marketing calendars
Improve lead generation campaigns
Assist with recruiting campaigns
Optimize engagement across platforms
Ensure marketing aligns with the COO's overall strategy

Required Qualifications
US Real Estate experience is REQUIRED.

Candidates without direct US residential real estate operations experience will not be considered.
