About the Role

US Real Estate Experience is REQUIRED

We are a fast-growing, high-performance US Real Estate team looking for an experienced Operations Manager / Integrator who thrives on creating order, driving execution, and building scalable systems.

This is NOT an entry-level operations role.

We are looking for someone who has proven experience supporting a US Real Estate team and understands how real estate operations function from lead generation all the way through closing.

If you do not have US Real Estate Operations experience, your application will not be considered.

About the Role

As our Operations Manager, you will serve as the Integrator of our business.

Your responsibility is to ensure the entire operation runs smoothly by managing:

Team accountability
Daily operations
CRM management
Operational systems
KPI tracking
Project execution
Process improvement
Cross-department communication

You are the person who makes sure nothing falls through the cracks while allowing leadership to focus on growth.

Key Responsibilities
Team Leadership & Accountability
Manage and support Virtual Assistants and Operations staff
Conduct daily check-ins and weekly accountability meetings
Monitor team performance and productivity
Ensure tasks are completed on time
Create and maintain Standard Operating Procedures (SOPs)
Assist with onboarding and training new tea ---------- mbers
Operations & Systems Management
Manage and optimize our CRM systems
Build and improve workflows and automations
Maintain operational dashboards and trackers
Ensure data accuracy and CRM hygiene
Identify bottlenecks and improve operational efficiency
Document and continuously improve internal processes
KPI & Performance Tracking
Monitor daily, weekly, and monthly KPIs
Maintain scoreboards and reporting dashboards
Track lead flow, appointments, contracts, and pipeline performance
Prepare reports for leadership meetings
Ensure every department is hitting performance benchmarks
Project Management
Coordinate cross-functional projects
Assign and monitor team deliverables
Follow up on deadlines and project milestones
Keep leadership informed of project status
Solve operational issues before they become larger problems
Real Estate Operations
Support transaction workflows
Coordinate with agents, ISAs, TC's, and administrative staff
Ensure consistency in client experience
Understand the complete real estate lifecycle from lead generation through closing
Help improve operational systems that support sales growth
Required Qualifications
Must Have
Minimum 2 years of US Real Estate Operations experience
Experience working with a US Real Estate brokerage or team
Strong understanding of Real Estate workflows
Experience managing remote teams
Excellent leadership and communication skills
Highly organized with exceptional attention to detail
Strong problem-solving ability
Self-motivated and proactive
Able to prioritize multiple projects simultaneously
Strong written and spoken English
Software Experience (Required)

Experience with some or most of the following:

Follow Up Boss (Preferred)
HubSpot
Google Workspace
Slack
Zoom
Trello / Asana / ClickUp
Microsoft Excel / Google Sheets
CRM reporting and KPI dashboards
