The Role
You will amplify the reach, impact, and effectiveness of the CEO — serving as a close operational partner, maintaining the systems that keep the company running at scale, and ensuring the right things get done at the right time with discipline and follow-through.

Own (Direct Responsibility)
Operational Systems & Processes: Standardize and maintain workflows, office procedures, and electronic systems for consistency and scalability. Manage project pipelines in software, keeping communications tracked and statuses current, and flag upcoming deadlines or delays to the CEO. Oversee general administration and smooth day-to-day operations.

Executive & Client Support: Manage the CEO's communications across email, phone, and messaging; compose and edit letters, proposals, and documents, and follow up on pending replies. Provide forward-planning calendar and scheduling support, including travel preparation, visa applications, and country-specific entry requirements. Act as primary liaison for the CEO internally and externally, and research or triage ad hoc client requests. Manage the CEO's personal scheduling, appointments, applications, and bill tracking with discretion and professionalism.

Governance & Reporting: Own Board meeting preparation, documentation, and presentations. Manage Board and advisor workstreams, prepare agendas, briefing materials, and management reports, and ensure follow-through on post-meeting action items.

Support (Shared Responsibility)

Strategic Leadership: Partner with the Founder as a co-leader, providing operational leadership across finance, administration, marketing, IT, and HR. Lead daily execution of company strategy and champion initiatives such as system development, process discipline, market expansion, or M&A execution.

Operational Oversight: Build relationships across the leadership team to coordinate priority workstreams, manage actions and status reports, and prepare documentation for meetings, board updates, and CEO briefings.

People, Talent & Culture: Manage talent acquisition, development, and performance in collaboration with the Talent Advisor. Balance workload across the administrative team, lead internal communications, and drive documentation standards and a values-aligned culture.

Coordinate (Enable and Oversee)

Special Projects & Events: Organize company events and liaise with vendors and suppliers across jurisdictions. Coordinate key meetings, assign follow-ups, and ensure execution across project owners.

Cross-Functional Collaboration: Delegate projects to team members on behalf of the CEO, align internal and external messaging with company values, and manage coordination between departments, clients, and leadership.
