Atlanta Business Services is a growing U.S.-based accounting and business advisory firm that provides accounting, bookkeeping, financial insights, and business support services to growing companies.
We are seeking a dependable, organized, and detail-oriented Accounting Operations Specialist to support our accounting team.
This is a hands-on accounting and operations role for someone who enjoys bookkeeping, working with structured processes, documenting information, and helping a team stay organized.
The ideal candidate is comfortable working behind the scenes while also attending designated client meetings to document important information, decisions, and follow-up items.
This is not a sales position or financial advisory position.
Position Purpose
The Accounting Operations Specialist supports our Client Account Specialists by completing recurring bookkeeping and accounting production tasks, maintaining accurate client documentation, assisting with client spreadsheets, and helping ensure Atlanta Business Services' Standard Operating Procedures are properly documented and maintained.
A major responsibility of this role is helping information move efficiently from:

The Accounting Operations Specialist helps ensure important client information, accounting questions, and follow-up items do not get lost.
Primary Responsibilities Accounting & Bookkeeping Production Categorize and review transactions in QuickBooks Online. Reconcile bank and credit card accounts. Assist with accounts payable and accounts receivable bookkeeping. Record payroll journal entries using established procedures. Review uncategorized transactions and identify items requiring clarification. Complete assigned month-end close checklist tasks. Maintain supporting accounting documentation. Identify bookkeeping discrepancies and escalate questions to the assigned Client Account Specialist. Assist with recurring accounting schedules and client reporting support. Follow written SOPs, checklists, and video instructions. Complete assigned tasks by established deadlines. Document work completed and communicate unresolved accounting items. Client Meeting Documentation & Follow-Up Attend designated client meetings with Client Account Specialists and other Atlanta Business Services tea ---------- mbers. Listen carefully and document important client discussions. Prepare clear and organized meeting notes. Enter meeting notes into the firm's practice management software. Document client decisions, requests, and accounting information discussed during meetings. Identify action items and follow-up responsibilities. Create or update tasks in the practice management software based on meeting discussions. Assign or route follow-up items to the appropriate tea ---------- mber according to established procedures. Document due dates and follow-up deadlines. Maintain an accurate record of unresolved client questions. Flag accounting or client issues requiring Client Account Specialist review. Assist the team with tracking outstanding client documents and information.
The Accounting Operations Specialist is not responsible for independently providing accounting advice or financial recommendations during client meetings.
Technical accounting questions should be documented and escalated to the appropriate Client Account Specialist.
Standard Operating Procedure Documentation & Maintenance Assist with creating written Standard Operating Procedures from team instructions and training videos. Review Loom videos and convert processes into organized written SOPs. Format SOPs using Atlanta Business Services' approved SOP template. Document the purpose, frequency, responsible role, required systems, and steps for each process. Include appropriate escalation procedures within SOPs. Maintain the firm's SOP library. Review SOPs for outdated information. Update SOPs when approved processes change. Maintain SOP creation and revision dates. Identify recurring processes that do not have documented SOPs. Notify the appropriate process owner when an SOP may need to be created or updated. Ensure SOP documents are properly named, organized, and stored.
The Accounting Operations Specialist does not independently change Atlanta Business Services' accounting or operational procedures.
Process changes must be approved by the appropriate process owner or management tea ---------- mber before the SOP is updated.
Excel & Client Spreadsheet Support Perform accurate data entry into client Excel spreadsheets. Maintain recurring client spreadsheets and accounting schedules. Transfer financial and operational data between approved systems and spreadsheets. Review spreadsheets for missing or duplicate information. Sort and filter data. Perform basic spreadsheet reconciliations. Use basic and intermediate Excel formulas as needed. Assist with maintaining client tracking spreadsheets. Compare spreadsheet totals to accounting system reports when required. Identify differences and escalate discrepancies to the Client Account Specialist. Maintain accuracy and consistency when entering high volumes of financial data. Required Qualifications Minimum 5 years of bookkeeping or accounting support experience. Strong QuickBooks Online experience. Experience completing bank and credit card reconciliations. Strong understanding of basic accounting and bookkeeping principles. Experience working with U.S.-based businesses or accounting firms strongly preferred. Strong written and spoken English. Strong English listening comprehension. Ability to understand accounting terminology used during client conversations. Intermediate Microsoft Excel skills. Experience working with spreadsheets and performing detailed data entry. Strong attention to detail. Experience following written SOPs, checklists, and video instructions. Strong organizational and documentation skills. Ability to manage multiple client assignments and deadlines. Comfortable attending virtual client meetings. Comfortable taking detailed meeting notes. Ability to work independently and communicate when clarification is needed. Reliable internet connection and professional remote work environment. Preferred Qualifications Experience working for a U.S. accounting or bookkeeping firm. Experience supporting multiple accounting clients simultaneously. Experience using accounting practice management software. Experience creating or maintaining Standard Operating Procedures. Experience converting training videos or Loom recordings into written SOPs. Experience using task or project management software. Experience maintaining client accounting schedules. Experience with payroll journal entries. This is a remote position.
Full-time or part-time opportunities may be considered based on experience and availability.
Regular overlap with U.S. Eastern Time business hours is required to attend designated client meetings and communicate with the Atlanta Business Services team.
