Hours: Meaningful daily overlap with US Eastern business hours (night shift in the Philippines) so client action items are handled same-day. This is primarily a behind-the-scenes role — only occasional client call attendance is required.

About Us

We're Ninedot, a boutique US digital marketing agency (Providence, Rhode Island). We build websites and run marketing for B2B clients in fintech, professional services, and tech. Our team is global — designers and developers in India, marketing execution in the Philippines — and we run everything through Teamwork. We're looking for a sharp, dependable behind-the-scenes Project Manager to keep our projects on track.

The Role

You are the engine room of the agency — the person who makes sure nothing falls through the cracks. This is a behind-the-scenes role. Our client-facing Account Manager runs the client meetings and relationships; you take the notes and action items from her and from our Fireflies meeting transcripts, translate them into Teamwork tasks, and drive every item to completion. You live in Teamwork, keep every project board accurate, coordinate our design and dev teams, and make sure every request that comes in from clients (by email or in meetings) actually gets done. You report to the CEO and work hand-in-hand with the Account Manager. You will not run client relationships — you make sure the work behind them succeeds.

What You'll Do

Own our Teamwork boards: create, assign, and update tasks so every project's status is accurate at all times — without being chased. Take handoff notes from our Account Manager and pull action items from Fireflies meeting transcripts/summaries, then turn them into clear Teamwork tasks — same day. Make sure every client request that arrives by email is captured, assigned, tracked, and completed — nothing slips. Coordinate our India-based design and development teams and our Philippines-based marketing specialist — track deadlines, unblock work, chase what's due. Track project scope and hours, and flag early when a project is trending over budget. Keep our tools clean and current: Teamwork, HubSpot, Slack, Google Workspace, Fireflies. Join the occasional internal or client call when needed (not a regular client-facing role).

What We're Looking For

2+ years as a project manager or project coordinator, ideally at a marketing/creative/web agency. Hands-on experience with a project management tool (Teamwork strongly preferred; Asana, ClickUp, Monday, or Jira also fine). Excellent written English — you'll read client emails and meeting notes and turn them into clear, accurate tasks. Highly organized and proactive: you follow up without being told to, and you'd rather over-communicate than let something slip. Strong attention to detail — you can read a transcript or an email thread and pull out every action item without missing one. Comfortable coordinating across time zones and cultures (US, India, Philippines). Able to work meaningful US Eastern overlap (night shift in the Philippines). Bonus: HubSpot experience, familiarity with web design/development workflows, WordPress or website QA experience.
